Your Opportunity with ECG: Marketing Events Coordinator
To be successful, you need to be data driven, detail oriented, highly organized, self-motivated, and able to learn as you go. You should enjoy working in a fast-paced environment and be comfortable with juggling multiple priorities. You’ll need to be able to work with a wide range of personalities across all levels of the organization.
Your responsibilities may include:
- Planning, strategizing, and managing all aspects of customer-facing events, including conference sponsorships, trade shows, ECG-hosted events, speaking opportunities, and webinars.
- Sourcing, maintaining, and distributing potential opportunities across the healthcare industry for conference sponsorships and call-for-speakers.
- Collaborating with the marketing director, vice president of business development, and division-level stakeholders to determine the ideal conference sponsorship mix to maximize ROI and brand awareness.
- Scheduling and leading preplanning event meetings, timelines, and attendee lists with marketing and conference stakeholders.
- Owning event logistics, which includes all pre-event activities, promotion, CRM attendee matching, material and booth handling, setup and breakdown, digital assets, on-site collateral needs, conference schedules, on-site business development activities, and other associated requirements.
- Developing event briefs, communication plans, creative tactics/executions, and execution timelines.
- Managing webinar planning and coordination with external vendors.
- Maintaining and updating the event project management site.
- Being responsible for the budgeting/forecasting and monthly reconciliation of assigned event expenses.
- Managing marketing campaigns for attendees and collected leads before and after events, utilizing CRM for tracking.
- Collaborating with the CRM lead in lead scoring after events.
- Leading efforts to streamline reporting and communicating event calendars and expenses.
- Evaluating event performance and ROI, including lead tracking, surveys, post-event tracking, wrap reports, and recommendations for future events through quantitative and qualitative analysis.
- Creating event-level content in collaboration with the marketing manager.
- Participating in regular industry research to stay informed of emerging marketing trends and opportunities within the healthcare industry, and identifying insights that guide targeting, positioning, and strategy.
- Collaborating with the broader business development and marketing team to support growth and client experience initiatives and ensure marketing and business development alignment.
- Assisting the marketing team on other projects as needed.
Our Expectations of You
- Bachelor’s or master’s degree in marketing, journalism, or communications preferred
- Minimum of three years of experience in planning and coordinating conferences, managing trade shows, and coordinating webinars
- Experience with CRM; Microsoft Dynamics preferred
- Excellent organizational and communication skills
- Exceptional time management skills
- Ability to lift boxes up to 25 pounds and stand at trade shows or events for long periods of time; includes setting up and breaking down booth elements.
- High comfort level with working in a fast-paced, team-oriented environment
- Aptitude for a high degree of social interaction, including interacting with all levels of management and external vendors to complete projects
- Detail oriented, reliable, and capable of managing multiple responsibilities with little supervision
- Proactive problem-solver
- Experience with writing brief marketing narratives
- Proficiency in Microsoft Word, PowerPoint, and Excel
- Knowledge of marketing concepts, particularly business-to-business
- Ability to travel up to 30% of the time, occasionally on weekends
