Essential Job Functions

The Client Commitments and Privacy Operations Manager ("CCPO Manager") position is responsible for overseeing the daily intake, assignment, quality review, and delivery of work product by Client Commitments team. This team (i) manages the intake, processing, and delivery of responses to client inquiries about firm operations, including compliance, information governance, data security and data privacy policies; (ii) coordinates due diligence audits and assessments performed by a client and/or a client's vendor (iii) assists with Privacy program operations including process documentation and compliance tracking and; (iv) assists the Office of the General Counsel and other partners with the review and markup of client commitment documentation, e.g., client engagement letters, outside counsel guidelines, data privacy agreements.

This position uses executive-level oral and written business communication and time management skills to review client engagement documents and client due diligence assessments for partners. Additionally, it involves summarizing concerns and client requirements for legal team awareness and resolves outstanding issues with the appropriate parties on all aspects of client compliance and client commitment-related requests. Operating efficiently within tight timelines, this role consistently delivers high-quality work product in advance of client deadlines. The results achieved by the individual in this position reduce measurable risks and costs associated with the management of the firm's client and administrative data.

The CCPO Manager will develop and maintain a highly productive and collaborative working rapport with the Senior Director of Risk Management, the Director of Risk Management Compliance, the Associate Directors of Risk Management Compliance, and all members of the Risk Management leadership team to ensure that work product and services meet or exceed internal and external client expectations. This position serves as a backup for other members of the Risk Management Compliance leadership team when they are away from the office. The Manager also represents Risk Management during onsite and virtual client audits.

  • Manages work assignments of Client Commitments team members responsible for client inquiries, OCG reviews, facilitating client audits, and assisting the Privacy team with operational tasks.
  • Manages performance expectations of Client Commitments team members, evaluates performance, and provides feedback on an ongoing basis.
  • Provides direction on the use of Risk Management technologies to secure client confidential information, client sensitive information, and firm proprietary information.
  • Ensures written documentation of all Risk Management processes associated with managing client requirements compliance is up-to-date, factually accurate, and organized in an audit-ready state.
  • Drafts, reviews and/or presents proposals, project plans, status reports, and other information in a variety of formats and styles appropriate to the audience.
  • Coaches and mentors Client Commitments team and other Risk Management personnel on the continual improvement of their knowledge relating to client compliance requirements, client due diligence audits and assessments and client data protection and management.
  • Works directly with administrative staff and legal practitioners to document business requirements and automate information governance processes.
  • Creates and maintains records relating to the administration of the firm's client commitments and privacy operations program.

Qualifications & Requirements

This is an entry level manager position. Candidates must have 3 or more years' experience coordinating or supervising the work of others. This experience must include the intake and assignment of work, the review and approval of work product, delivering performance feedback, setting goals and objectives, and reporting metrics.

Candidates with an educational background from a wide variety of disciplines including information technology, information security, legal, compliance, information management, and/or records management will be considered. Aptitude and interest in personnel and team management, information technologies, information security, critical thinking, change management, customer service, and project management is a must. Preference will be given to candidates with law firm or corporate experience (whether as a practitioner or functional lead). An undergraduate degree from an accredited four-year institution is required.

Technology proficiency in Visio, iManage Work, Loopio, Intapp software solutions including Walls and Terms, and/or Archer GRC is desired. Advanced proficiency in MS Office applications and technical writing is required. More than five (5) years' experience in law firm conflicts, business intake, information governance, compliance, information technology or information security is required.
