Position Summary:
The Mail Shop Manager is responsible for overseeing the day-to-day operations of the Mail Shop, ensuring the efficient and accurate processing of outgoing mail. This role requires a combination of strong organizational skills, attention to detail, and leadership abilities. The Mail Shop Manager will also be responsible for managing a team of mailroom staff, maintaining equipment, and implementing best practices to optimize workflow.
Key Responsibilities:
- Supervision and Leadership:
- Lead, coach, and mentor a team of mailroom staff, providing guidance and support in their daily tasks.
- Conduct regular team meetings to communicate goals, expectations, and updates.
- Mail Processing:
- Oversee the processing outgoing mail, ensuring accuracy and timeliness.
- Utilize mail processing equipment efficiently.
- Equipment Maintenance:
- Coordinate and perform routine maintenance on mail processing equipment.
- Arrange for repairs or replacements as necessary and keep an inventory of supplies.
- Quality Assurance:
- Implement quality control procedures to ensure accuracy in addressing, sorting, and packaging of mail.
- Monitor for any discrepancies and take corrective actions.
- Compliance and Security:
- Ensure compliance with relevant postal regulations, including mail classification, rates, and delivery standards.
- Implement security measures to protect sensitive or confidential mail.
- Inventory Management:
- Monitor and manage inventory levels of mailing supplies.
- Place orders for supplies as needed, keeping costs within budget.
- Workflow Optimization:
- Analyze current processes and implement improvements to increase efficiency and reduce costs.
- Explore automation opportunities to streamline mail processing.
- Health and Safety:
- Ensure compliance with health and safety regulations within the Mail Shop.
- Train staff on safe handling practices and emergency procedures.
Qualifications:
- Bachelor’s degree in business administration, Operations Management, or a related field (preferred).
- Previous experience in a supervisory or management role within a mailroom or similar environment.
- Strong knowledge of postal regulations, mailing software, and equipment.
- Proficient in using mail processing software and Microsoft Office Suite.
- Excellent organizational and multitasking skills.
- Effective communication and interpersonal skills.
- Ability to work under pressure and meet deadlines.
