Job Description
If you love business operations, being part of a team focused on ethical practices and you like coffee, we need to talk! We’re looking for a flexible and versatile office/Logistics Manager who will be responsible for critical office processes, including invoicing, domestic and international shipping and sample management. Get in on the ground floor and make a big impact! The main goal of this position is to create and maintain back-office systems that help us serve our customers well.

Green Coffee Logistics
- Manage domestic LTL freight shipping: create delivery orders, book shipments through an online portal, contact customers, submit releases to warehouse, oversee charges, and disputes.
- Co-manage international shipping: with President/Logistics Mgr, review international shipping documents, contact shipping lines for quotes, update tracking systems in Excel and on physical boards.
- Oversee Green Coffee inventory in warehouses, which may include creating new spreadsheets and maintenance of existing (ex: contracts checklist, stripping reports, drawdown schedule etc.)
- Coffee related invoicing: create and send invoices to customers (includes Green Coffee costs, load out fees, shipping charges and credit advices)
- Maintain relationships with brokers, and contact carriers for quotes routinely
Green Coffee Samples and QC
- Manage and update sample inventory and sample tracking spreadsheets (or in Cropster App); document inbound and outbound samples. Use laptop and printer to create labels.
- Label, package and ship samples to customers and deliver to the local drop box
- Storage, recordkeeping and ordering of more sample material from sources
- Document Green Coffee quality through spreadsheets, taking moisture readings, weights, enter tasting note data, etc.
- Occasional sample roasting and cupping
Back-office Office System Management
- Office inventory: manage inventory Certifications: set up routine reporting, management of new and old certification systems (may include Rainforest, FT, Organic)
- Manage customer contact info related to invoicing terms, sample and logistics requirements (parts of a CRM system).
Marketing
- Order SWAG items, manage research for SWAG purchasing
- Trade show booth implementation
- Assist with other marketing and mailing projects (ex: labels for event bags, design greeting cards, etc)
- Work with other team members to develop marketing designs and info sheets

Required skills, knowledge & abilities:
Enthusiasm and energy
Committed to ethical business practices
Minimum 2 – 5 years’ experience as a shipping clerk – or already managing logistics.
3 – 5 years in office management preferred.
Good knowledge of Microsoft Office tools: Word, Excel, Powerpoint
Good knowledge of Google Drive (google sheets and google docs).
Knowledge of Quickbooks a plus, not required.
Internet skills: can easily utilize search engines and typical website navigation.
Organized: prioritizes tasks and manages projects well
Experience in creation of office systems, implementation and management.
Can work independently
Works well in a professional environment.
Enjoys being part of a small, growing, entrepreneurial company.

Ideal/preferred:
B.A. in business or similar
Enjoys coffee – caff or decaf!
Work location/schedule: Work-from-home during business hours some days.
In-person 1-2 days per week in Ann Arbor. More time in-person may
be needed during on-boarding / training. Regular (scheduled) on-line/phone call meetings with Artisan Coffee Imports president.
Compensation:
Hourly wage: $25 /hour initially. Potential to increase.
Willing to work as independent contractor (1099 tax status)
