Job Description
The Legislative Coordinating Commission is a non-partisan office responsible for providing services to the House and Representatives and Senate at the Minnesota Legislature. The Administrative Assistant is a limited-term approximately 0.5 FTE that serves in a part time capacity to greet visitors, answer constituent questions, and ensure constituents are directed to the appropriate offices following the security protocols of the building. The position also provides general administrative support to the LCC office.
Responsibilities & Tasks:
A. Act as the receptionist to the LCC so that all visitors, callers and deliveries are promptly attended to.
a. Greet individuals arriving for appointments or meetings, announce their arrival and direct to the appropriate location.*
b. Direct all individuals walking-in to the proper location.*
c. Accept all deliveries for the LCC. Sign and determine the appropriate disposition of materials delivered and assure the proper person receives the material.
d. Reject or redirect all incoming deliveries not intended for the LCC.
e. Track LCC staff for general calls, meetings and emergency situations.*
f. Participate in training to ensure appropriate security protocols are being followed.
B. Provide a broad range of information referral services to callers so that all calls and messages are relayed to the proper LCC staff in the most efficient way possible.
a. Gather information from callers regarding the specific purpose of call so that they can be forwarded to the appropriate employee or office.*
b. Provide general technical assistance to LCC employees and constituents.
c. Provide general technical and non-technical information to callers.
d. Handle routine calls and transfers to other offices.*
e. Respond to all emails coming into general email boxes as authorized or forward to the appropriate staff person and/or office in a timely manner.*
