Job Summary:

Under the supervision of the Kathryn and Shelby Cullom Davis Library Director, this position helps implement the Libraries’ Acquisitions program. The incumbent also provides some support for the Collection Development program. This individual facilitates the ordering of library resources, processing of gift collections, and distributing information to co-workers. He/she assumes assigned departmental administrative duties and participates in other department-wide functions. The incumbent also participates in providing user assistance at the Service Desk on an irregular basis. This is a student workers supervisory position. The Davis Library is under the direction of the Maurice R. Greenberg School of Risk Management, Insurance and Actuarial Science, The Peter J. Tobin College of Business.


Essential Functions:

Acquisitions Functions

  • Manage orders, renewals, returns, statistical reporting, invoicing for library materials, ensuring efficient and effective workflows for the acquisition of a diverse range of materials.

  • Process incoming gifts to the collection and work closely with the library director to coordinate acknowledgements.

  • Manage the finances and billing for the Davis Library, prepare check requests and electronic bank transfers, and monitor expenditures.

  • Manage the preparation of orders, correspondence, reports, and maintenance of office files.

  • Process gifts and collections that are being considered for addition to the Davis Library’s collections.

  • Process monetary transactions including receiving and depositing payments in the form of cash, checks, and credit cards.

Serials Functions

  • Oversee the library’s periodical collection, coordinating renewals, check-in, claims, and binding.

  • Participate in data gathering and analysis of pricing, usage, and other metrics to support renewal decisions.

  • Create, activate, and maintain serial records in the library's Integrated Library System.

  • Receive, claim, and maintain print serials collection and records.

  • Maintain updated list of usernames and passwords for e-publications access.

  • Works closely with the Library Director on space planning and shifting.

Government Documents Functions

  • Oversee all aspects of the Davis Library Federal Government Document Collection, including acquisitions and processing.

  • Receive government documents and facilitate and oversee processing of all physical materials.

  • Train and supervise student workers in various tasks in processing documents, including labeling, stamping, and shelving.

  • Separate insurance related documents added permanently to the Insurance Collection.

  • Maintain accurate bibliographic records for documents in automated library system and/or MS Access Database.

  • Withdraw superseded documents, manage errata sheets & other corrections, and coordinate maintenance of the physical documents collection with the Library Director.

  • Serve as contact person for Government Document related issues.

  • Represent the library at regional and national government document meetings.

Student Workers Functions

  • Oversee the hiring process and training of student workers, which involves circulation functions; government documents functions; barcoding; sorting; shelving and shelf-reading; collaborating with patrons to assist in printing issues and inventory projects; updating loose leaf services publications; and engaging in other duties as assigned.

Collection Maintenance Functions

  • Oversee the daily care of collections: keeping the stacks/storage area neat and clean, performing general maintenance tasks in the library, and periodically cleaning the collections themselves.

  • Oversee off-site storage of publications, including making changes on Horizon, re-barcoding, inventorying, boxing, and arranging the pick-up boxes.

  • Oversee the commercial binding of serials and monographs, commercial rebinding of damaged volumes, and rehousing historical publications in custom preservation enclosures created by the commercial bindery; shipping and receiving publications from commercial bindery; and barcoding of bound volumes that are received.

Oversee digital archiving of monographs and periodicals

  • Search, download, file naming, and inventory of electronic publications.

  • Train students for downloading and file naming of downloaded files.

  • Manipulate computer and library software programs such as an integrated library system (ILS), Excel, Word, etc.

  • Understand moderately complex oral and written job instructions, policies, and procedures.

  • Work as a team member and interact professionally with co-workers and business contacts.

  • Recognize and communicate with vendors to resolve issues and errors, including invoice errors.

  • Adapt to change within the organization regarding personnel, workspace, procedures, and policies.

  • Maintain work effectiveness in multiple task environment with moderate time pressure, continuous interruptions and noise, and fiscal year and contracts deadlines.

Preferred

  • Ability to concentrate and deal with detailed work for extended periods of time.

  • Experience with Microsoft Office products (Word, Access, Excel, Outlook), integrated library systems.

  • Familiarity with libraries and education environment.

  • Understanding of basic business mathematics and accounting to monitor orders, invoices, and financial accounts.

  • Experience with SirsiDynix Horizon, WorldCat, OCLC Connexion.


Supervisory Responsibility:

This is a student workers supervisory position which may supervise between 1 to 10 student workers.


Work Environment:

This position requires you to use standard office equipment such as personal computers, printers, etc.


Physical Demands:

Position requires some standing, walking, reaching, and climbing ladders. Incumbent must be able to bend, stoop, and lift-up to forty pounds. Responsibilities may require that the incumbent push and/or pull wheeled book trucks weighing up to 300 lbs.


Environmental Conditions:

Use of appropriate safety measures, as tasks may involve exposure to dust and mold.


Position Type/Expected Hours of Work:

This is a full-time permanent position requiring a 35-hour workweek. The primary work schedule for this position is 7-hours a day, Monday through Friday, between 8:30 am to 8:00 pm at mutual convenience. During breaks and interim periods, the libraries’ hours are shortened and the work hours for this position might be modified to include an 8:30 am to 4:30 pm, Mon-Fri schedule.


Travel:

Travel is primarily local and may include visits to the other NY campuses. Some travel is out-of-area and overnight travel may be required when traveling to conferences.


Required Education and Experience:

Bachelor’s degree and 2-5 years related experience or training, or equivalent combination of education and experience. An equivalent combination of education and experience would be two years of college and four years of relevant work experience. Work experience in libraries or archives is required.


Preferred Education and Experience:

Bachelor’s degree in business, legal studies, history, or public history is preferred.


Additional Eligibility Qualifications:

  • Familiarity with processing high volumes of material is a plus. Prior experience with SirsiDynix Horizon, copy cataloging, or invoice payment is helpful. Familiarity with German, Italian, or French language is particularly useful.

  • Familiarity with the insurance industry is also particularly useful.

  • Knowledge of fundamental cataloging rules and bibliographic description is preferred.

In compliance with NYC’s Pay Transparency Act, the annual salary range for this position is $55,000 - $58,600.
