Ultimate Staffing is seeking a part-time Legal Assistant to join a real estate law firm in West Palm Beach, FL. In this role, you will be responsible for supporting the attorney with various tasks related to real estate transactions. The ideal candidate is detail-oriented, organized, and has a strong understanding of real estate legal processes. This role will be roughly 10-20 hours per week. Flexible schedule.
- Prepare real estate contracts and closing documents, including closing statements, utilizing specialized software programs.
- Type title insurance policies to ensure accuracy and compliance.
- Effectively manage critical dates related to real estate transactions.
- Open and close files in an organized manner, maintaining meticulous records for reference.
- Contact clients for necessary information and documentation.
- Work closely with lenders and real estate brokers to facilitate seamless transactions.
Software:
- Perform general typing, filing, scanning, and copying tasks as needed.
- Demonstrate proficiency in Microsoft Word and Outlook for efficient communication and document preparation.
- Utilize QuickBooks for trust account entries, including the processing of incoming checks or wires and outgoing payments. Note that this responsibility is limited to trust account transactions and does not involve the broader business side of payables, receivables, or general financial management.
- Navigate and effectively use Display Soft for closing statements, with access to a dedicated support phone line if required.
Note: The role does not involve answering phones as there is a designated receptionist in place.
Qualifications:
- Proven experience in real estate administration or a related field.
- Proficiency in Microsoft Word, Outlook, QuickBooks (trust account entries), and Display Soft.
- Excellent organizational skills with a keen attention to detail.
- Strong communication skills for client interactions.
- Ability to collaborate with lenders, real estate brokers, and internal team members.
Working Hours:
This is a part-time position, with a flexible schedule of 10-20 hours per week depending on work load and closings scheduled. The selected candidate will have the opportunity to contribute to the success of our real estate law firm while maintaining a healthy work-life balance.
