Grossman Young & Hammond is seeking qualified candidates for the position of Legal Assistant for our office in Silver Spring. The position provides professional immigration legal support to attorneys and paralegals.
Key Measures for Success:
- All mail opened and distributed on day of receipt; All receipt notices and approval emails sent within 48 hours. Ensures that all physical documents are properly processed.
- Confirms all deadlines and task completion timeframes for each case with case managers, providing the completed work product on or before the deadline, or communicating proactively with the case manager to explain the cause for delay / exceeding timeframes and setting a new deadline.
- Follows instructions and, if there is any uncertainty about instructions, clarifies immediately with the case manager before taking action.
- Applies lessons learned in one case to subsequent cases.
- Receives positive feedback and no negative feedback from clients, vendors and co-workers.
- No quality errors that cause financial harm to the client or the firm or timing delays to the client.
- Maintains a positive attitude during change and unexpected circumstances.

Duties/Responsibilities:
- Government Petitions
- Print, assemble and prepare all petitions to be filed with USCIS.
- Mail Processing, Filing & Correspondence
- Handle all incoming and outgoing immigration correspondence.
- Distribute USCIS correspondence to legal team and mail appropriate documents to clients.
- Scan, organize, label and file all electronic documents (intake documents, USCIS notices, correspondence, etc.) in client files.
- File all original client documents as necessary.
- Save and update details of all receipt notices, approval notices and status docs i.e. visa, I-94 in INS Zoom.
- Process all government correspondence.
- Client Coordination
- Responsible for answering phones, directing to the appropriate team member and taking accurate messages.
- Schedule client conference calls. and send reminders for legal team members.
- Back-up Executive Assistant to complete potential client intakes, schedule consultations, and send new client questionnaires.
- Document Drafting
- Draft/edit correspondence as requested by attorneys and paralegals.
- Database Management & Reporting
- Update Case Manager and Case Status as appropriate in case management database.
- Keep case timelines up to date.
- Enter and update contact information into INS Zoom and Public Contacts (Outlook).
- Run reports as requested from case management database.
Required Knowledge/Skills/Abilities:
- Excellent organizational, writing and other communication skills
- Ability to multi-task and meet deadlines
- Ability to work well with clients and others
- Basic computer (MS Office) skills
- Flexibility
Required Education/Experience: Bachelor’s degree
Expected Hours: 40 hours per week plus overtime as needed
