Whiteford, Taylor & Preston, has an opening for a Legal Administrative Assistant (“LAA”) in its Baltimore, MD office. The LAA will provide administrative tasks which include court filings, billing, managing time entry, and other administrative tasks. The ideal candidate will have one to two years of litigation experience, strong administrative and organizational skills, and a strong proficiency with all Microsoft applications and electronic document management systems.
Responsibilities:
- Preparation of legal correspondence and documents including pleadings and briefs, preparing documents for trial and filing documents electronically in various courts (local, state, federal). Conduct searches for and retrieve electronic court records (PACER).
- Maintaining accurate and up-to-date calendars for assigned timekeeper(s). Coordinate changes in meeting schedules using independent judgment and knowledge of priorities. Manage the scheduling of all case-related events, i.e., depositions, hearings, etc.
- Open, sort and distribute incoming mail for timekeeper(s). Prepare outgoing mail, including overnight express and hand-deliveries. Use judgment and initiative to determine to whom to refer urgent mail, e-mail, etc.
- Establish, organize, and maintain up-to-date client files within the firm’s document management system as well as in hard copy.
- Perform administrative responsibilities such as: prepare information to open and close client files, maintain filing systems, maintain databases, etc. Conduct a preliminary investigation of possible conflicts regarding newly assigned cases. Handle the billing procedures for timekeeper(s).
- Greet visiting clients and guests. Notify appropriate individuals upon arrival of guests and provide general assistance to guests.
- Make travel arrangements for timekeeper(s), working from general instructions on destination, purpose of travel, and knowledge of travel preferences. Coordinate travel and prepare and submit expense reports.
- Work independently or under general direction to complete special project assignments.
- Perform other duties as assigned.
Qualifications
- Requires high school diploma or GED and a minimum of one to two years related experience and/or training; or equivalent combination of education and experience; experience with litigation is preferred.
- Preferred experience in e-filing, time entry software, and document management systems.
- Strong aptitude for technology and learning new systems.
- Excellent communication and proofreading skills.
- Strong time management and organizational skills.
- Ability to think clearly, react positively and evaluate situations to determine appropriate action and act decisively under pressure.
- Ability to proactively identify opportunities to assist team and those the team supports.
- Must be highly organized and a self-starter.

Pay: $55,000.00 - $65,000.00 per year
