ROLE
We need an experienced Legal Assistant for the Victim Assistance Program in the United States Attorney’s Office for the Eastern District of Kentucky (USAO-EDKY). The Victim Assistance Program is a part of the Community Relations Unit (CRU). The CRU is comprised of Law Enforcement Coordination, Media Relations, Community Outreach, Witness Management, and Victim Assistance programs. In this role, you will provide direct support and services to victims of federal crime and help facilitate the participation and cooperation of victims throughout the federal judicial system. RESPONSIBILITIES
- Assist in meeting the needs of the USAO-EDKY Victim Assistance Program and of victims
- Support the Victim Assistance Specialist
- Provide support primarily around victim notification and victim services
- Facilitate the participation and cooperation of victims throughout the federal judicial system
Victim Notification
- Input data into applicable databases
- Produce notification documents using the Victim Notification System (VNS)
- Updates victims contact information in the VNS
- Run report using VNS as needed
- Mail victim notification letters including metering, and delivering mail to the outgoing mail receptacle
- Use the database to search for missing victim contacts
- Secure and file necessary documentation related to those searches
File Maintenance
- Secures statistical or other information from files and related sources
- Input information into appropriate database and/or spreadsheet file
- Maintain a record of active victim cases, including tracking all hearings and trials
- Maintain a calendar system for active cases to keep other staff informed of the status of ongoing cases
- Sort and arrange material for filing and files material in alphabetical, numerical, or chronological order
- Locate filed material based on working knowledge of office filing system
- Prepare cross references as necessary and as required
- Participate with office staff in file close-out.
General
- Utilizes, as required, other software applications, such as VNS and Microsoft word
- Perform a variety of recordkeeping, reporting, and informational duties for the Victim Assistance Specialist
- Compiles, maintains, and updates data, lists, and reports
- Process recurring documents with responsibility for checking actions for errors or omissions
- Determine subsequent processing requirements
- Operate copying/printing machine
- Ensure the required number of copies are produced in the proper format
- Collates and staples material as necessary
- Answers the telephone and refers callers to staff members or takes messages as appropriate
- Greets office visitors
- Report, in writing, all victim-related contacts to Victim Assistance Specialist
- Receive incoming mail for the Victim Assistance Program
- Ensure that it routes to the Victim Assistance Specialist
- Stock forms or other office supplies
- Notify Victim Assistance Specialist and other pertinent personnel when reorder level is reached
EDUCATION
- High school Diploma required
- Bachelor’s degree preferred

- U.S. citizenship required since this role supports the U.S. federal government

Specific vision abilities required by this job include the use of computer monitor screens up to 80% of the time.
