THE IMPACT YOU CAN HAVE:
The Lease Accounting and Administration team will serve the primary contact for rent or lease-related questions with Ulta Beauty's landlords. The individual is responsible for accurate and timely administration of all Ulta Beauty leases within the Company's internal database. This individual is also expected to collaborate with internal partners on Ulta Beauty's adoption of the latest lease US GAAP accounting guidance issued by the FASB in 2016.
YOU'LL ACCOMPLISH THESE GOALS BY:
- Managing monthly rent processes, reconcile real estate taxes and common area maintenance (CAM), and perform preliminary audit of annual reconciliations as provided by landlords, to identify obvious overcharges.
- Updating and maintaining quality control of landlord information, lease payments and all other lease data in the Tango lease administration software system to ensure documentation prepared accurately reflects all critical lease information.
- Adhering to proper internal control compliance in accordance with SOX documentation.
- Participating in the day-to-day management of leased properties with specific attention to account activities and any other rent-related or invoicing issues.
- Timely resolve lease and invoice problems, including notices of default, with particular attention to detail and Lease terms/responsibilities.
- Determining lease obligations with respect to gross sales and any necessary reporting of gross sales to landlords.
- Coordinating audit requests and communicate with external CAM audit partners to maximize potential landlord overcharges and audit findings.
- Addressing/handling to completion all property issues that arise, together with other appropriate Ulta Beauty personnel.
- Collaborating within Accounting and with Legal, Repairs & Maintenance, and Store Operations and participate with an enterprise wide perspective on accounting and lease related developments.
- Monitoring lease renewal and expiration notices generated from the Tango software system.
- Reading and tracking of all lease agreements with high sense of urgency on follow up for reimbursements.
- Verify legitimacy of all requested vendor changes by obtaining and reviewing documentation including deeds, assignment of leases, other operating agreements, and W-9s.
- Participating in other Lease Administration activities as designated by Manager - Lease Accounting & Administration.
THE ESSENTIALS FOR SUCCESS:
- Lease administration/real estate or accounting background, with responsibility for enforcing lease rights.
- Strong proficiency in accounting/mathematical skills.
- Excellent written and oral communication skills, maturity in judgment and managing difficult situations with outside business partners.
- Strong attention to detail required.
- Exceptional organizational skills, ability to solve problems creatively, timely and resourcefully.
- Ability to prioritize and determine appropriate sense of urgency for various tasks, while maintaining a high degree of attention to detail in a fast paced, often high-pressured environment.
- Demonstrate a positive, professional and client-oriented attitude with coworkers, landlords, vendors and others whether contact is by mail, telephone, e-mail, or in person.
- Bachelor's degree, preferably in accounting
- Analytical skills and accounting background strongly preferred.
- Minimum 3 years' experience in lease administration or accounting function with some decision-making responsibility preferred.
- Strong time management skills with ability to adapt and respond to changing conditions or priorities with a sense of urgency
- Excelled computer skills, including Microsoft Outlook, Word and Excel.
- Experience with Tango or other lease administration software a plus.
- Experience with SAP or another ERP system a plus.
