About the Role

The Payroll Manager provides leadership and direction for US and Canada Payroll processing. This includes processing activities, audit and control activities, and system maintenance and upgrades. The role will report into our Director of Payroll and Benefits. This role is based out of our Chicago office with a hybrid / flexible in-office requirement.

Expectations

  • Manage payroll operations for 3 entities:
  • Cervello Inc.
  • Kearney Public Sector and Defense Services
  • A.T. Kearney, Inc.
  • Ensure Compliance with all State and Federal Employment Tax agencies.
  • Active participation in system upgrades, tax updates, and other functional projects.
  • Subject matter expert on payroll processing and taxes.
  • Takes the lead in Employment Tax audits and Mergers and Acquisitions which will integrate with US payroll processing.
  • Supervise payroll staff which includes 1 full time Payroll Administrator and 1 part time Payroll Analyst.

Essential Functions and Responsibilities

  • Meet all Payroll processing deadlines for monthly and bi-weekly payrolls.
  • Hands on role which runs multiple payrolls on a monthly and ad hoc basis.
  • Runs all programs associated with payrolls.
  • Diagnoses any processing issues and escalates to HRIS Manager if unable to resolve.
  • Meet all payroll tax agency deadlines utilizing ADP Smart compliance.
  • Reconcile quarterly tax filings for 3 entities, resolve exceptions, approve ADP processing files.
  • Run audits and reconciliations for annual W2 forms. Approve W2 files via ADP.
  • Resolve employee W2 discrepancies. Calculate W2 corrections and submit amendments.
  • Review ADP Smart Compliance daily for alerts and notifications.
  • Work with ADP to register for new state income and unemployment taxes.
  • Follow up on tax agency notices with ADP.
  • Ensure State Unemployment Rates are accurate in ADP and PeopleSoft.
  • Resolve employee paycheck issues which may include calculating over payments and resolving state tax issues.
  • Knowledge of state tax regulations and muti-state work tax situations.
  • Active participation in system upgrades and tax updates including testing in multiple database environments.
  • Update PeopleSoft Payroll tables.
  • Create annual processing calendars and Run ids for all entities.
  • Add/inactivate Earnings, Deductions codes as needed.
  • Update Company State Tax tables for Company unemployment rates, regularly audit UI rates against ADP tax records.
  • Run off cycles as needed for US payrolls.
  • Proactively work all Tax inquiries and notices. Follow up with ADP and taxing authorities to resolve inquiries.
  • Work with HRIS to implement enhancements/changes to the payroll system.

Qualifications

  • 4-year college education or equivalent experience required.
  • Minimum 7 years of experience in Peoplesoft payroll.
  • Ability to write Peoplesoft queries strongly required.
  • Critical thinking required to diagnose payroll system issues.
  • Knowledge of Peoplesoft version 9.2 preferred.
  • Knowledge of cloud based Peoplesoft preferred.
  • Knowledge of ADP Smart Compliance – Employment Tax Service.
  • Knowledge of Microsoft Office Suites.
  • Ability to troubleshoot issues and discern next steps.
  • Strong verbal and written communication skills required.
  • Strong Excel skills.
