Jr. Proposal Writer (Hybrid Irvine, or Remote)

POSITION SUMMARY: The Proposal Writer will work closely with our Proposal Manager and Marketing team to create compelling and well-organized proposals that effectively communicate the value of our services to potential clients and partners. The ideal candidate should have a passion for writing, strong attention to detail, and the ability to gather and synthesize information from various sources to craft persuasive proposals.

 

Create and manage responses to proposal requests for Business Development, Client Services, and regional teams. Primary duties include drafting written responses to Requests for Proposals (“RFPs”) using RFP software, including content and version control, as well as managing the response timelines for these proposals. Secondary responsibilities for the use of Salesforce to back up RFP response deliverables that may be included in proposals and/or agreed to during the contract terms. Must have expert knowledge, accuracy and be able to balance multiple projects in a fast-paced, deadline-sensitive environment while maintaining a strong sense of customer service.

 

 

DUTIES AND RESPONSIBILITIES:

  1. Proposal Development: Collaborate with sales, legal, and other teams to develop comprehensive and tailored proposals for third-party administrator solutions. Deliver complete, high-quality, on-time responses to Requests for Proposals (“RFPs”).
  2. Content Creation: Write, edit, and proofread proposal content to ensure clarity, accuracy, and alignment with company branding and messaging.
 
  1. Content Manage: Assist in reviewing, securing, and maintaining RFP software to consistently improve response content, and tracks version. Update the RFP response database as new information becomes available, including attachments such as org charts, staff bios, etc. Help manage updates to systems, response content, and related to keep all internal customers up to date with current events.
  2. Client Analysis: Work with the Proposal Manager to research and understand potential client needs, objectives, and pain points to customize proposals that address specific requirements.
  3. Editing and Proofreading: Review and edit proposal content for grammar, spelling, consistency, and overall quality.
  4. Competitive Analysis: Assist Proposal Manager with research on industry competitors and their offerings to highlight our unique value proposition and differentiators.
  5. Project Coordination: Manage proposal timelines, milestones, and deliverables to ensure proposals are submitted in a timely and organized manner.
  6. Collaboration: Work closely with subject matter experts to gather technical details, data, and insights needed to create persuasive proposals.
  7. Formatting and Presentation: Ensure proposals are visually appealing and professionally formatted, using graphics, charts, and diagrams to enhance readability.
  8. Quality Control: Follow the quality control process to verify accuracy and completeness of proposal content before submission.
  9. Document Management: Assist in maintaining a centralized repository of proposal content, templates, licenses, and certifications for easy access and future use.
  10. Feedback Incorporation: Gather feedback from sales teams, clients, and stakeholders to continuously improve proposal content and strategy.
  11. Market Insights: Stay informed about industry trends, regulatory changes, and emerging technologies related to third-party insurance.
  12. Deadline Management: Work within established timelines to deliver high-quality proposals while meeting tight deadlines.
  13. Continuous Improvement: Stay updated on industry best practices and proposal writing trends to enhance proposal quality and effectiveness.
  14. Participate in special projects as needed.
  15. Perform other duties as assigned.
  16. Must be available to work occasional evenings and weekends, sometimes with short notice.
  17. <10% travel

QUALIFICATIONS REQUIRED:

 

Education/Experience:

  1. Bachelor’s degree in English, Business, Communications, Marketing, or related field
  2. Professional writing skills essential
  3. Experience in professional writing and bonus with experience in responding to large and complex RFPs.

 

Knowledge, Skills, and Abilities:

    • Strong writing skills with the ability to convey complex information in a clear and concise manner.
    • Strong prioritization, time management, organization, and multi-tasking skills
    • Strong interpersonal skills to collaborate effectively across departments.
    • Familiarity with Qvidian software and proposal management tools is a plus.
    • Excellent research and analytical abilities to understand client needs and competition.
    • Knowledge of insurance terminology, policies, and regulations is a plus.
    • Ability to work efficiently under pressure and meet tight deadlines.
    • Detail-oriented, self-starter, commitment to accuracy and quality, and ability to work independently in a fast-paced environment.
    • Excellent problem-solving skills
    • Proficiency in Microsoft Office applications, including Word, PowerPoint, Excel, Publisher, Visio, and Outlook;
    • Graphic design capabilities preferred—working knowledge of Adobe and Adobe Photoshop, and Illustrator.
    • Ability to interact with a wide range of internal and external clients in a professional manner
    • Strong work ethic and ability to maintain confidentiality
