Project Coordinator_Jr.  In Phoenix, AZ, 85007
Help design and implement Arizona’s Welcome Corps model to support qualified volunteers with welcoming refugees to their communities, working in partnership with collaboratives of state and local agencies, community-based organizations, PSGs, refugee newcomers, and other key stakeholders to participate in and support Welcome Corps and other national and local initiatives to facilitate private resettlement sponsorship in Arizona.
Responsibilities:
  • Help develop, maintain, and update standard operating procedures, process flows, and systems to ensure an effective and efficient program implementation. 
  • Work closely with RRP and other leadership to prepare comprehensive action plans with PSGs, clients, and conduct community needs assessments, necessary service adaptations and access points, and adequate capacity development with quality delivery. 
  • Develop and provide community presentation materials and private sponsorship resource guides for groups interested in becoming PSGs. 
  • Conduct outreach to government entities, existing and prospective community partners, participating foundations and prospective supporters, and PSGs and PSG-sponsored clients to facilitate information gathering and needs assessments; coordination and development of resources and services; development and implementation of services strategies and implementation timeframes; and other unanticipated collective actions. 
  • Research state and local resources for PSGs and share best practices and guidance on pre- and post-arrival responsibilities and issues with PSGs, serving as a point of contact for helping PSGs to: 
    • Identify and navigate housing stock and resources 
    • Understand services boundaries 
    • Enroll clients in public benefits, English language training, K-12 school, Head Start and Early Head Start 
    • Understand, prepare for, and enter/retain employment 
    • Access health screenings and ongoing health and mental health services and resources 
    • Access legal immigration services 
    • Receive comprehensive and iterative cultural and community orientations. 
  • Provide administrative and programmatic support, including scheduling and planning meetings; developing program materials and resources; undertake routine communications (verbal and written) with internal and external partners - especially with community and consortium partners. 
  • Assist in strategic efforts for the development and implementation of an advisory body and cohort working groups. 
  • Participate in internal and external advisory meetings, public informational events, community consultations, and any other assigned meeting and events. 
  • Oversee the development and collection of monthly reports, including initial assessments of PSGs, client needs assessments, PSG and client 90-day assessments and service mapping, and narrative reports.
  • Routine touchpoints and briefings with RRP leaders about efforts, problems and issues, problem solving efforts, opportunities and best practices. 
  • Keep abreast of current events affecting and issues concerning refugee and eligible beneficiaries resettlement and Welcome Corps efforts, and perform other duties as assigned. 
  • Conduct outreach to, onboard and support, and regularly check-in with Private Sponsorship Organizations (PSO), PSGs, Local Resettlement Agencies (LRA), community-based organizations, and PSG-resettled refugee newcomers to ensure that clients receive the services and support needed to achieve established standards for economic self-sufficiency and successful resettlement. 
  • Conduct weekly check-ins with Welcome Corps contacts and hold weekly drop-in office hours. 
  • Problem-solve issues that arise with PSGs, referring to community and government services and resources as needed. 
  • Support the mitigation of sponsorship breakdown as appropriate and requested by the supervisor, ensuring the safety and wellbeing of refugee newcomers. 
  • Elevate concerns identified by sponsored refugees or identified during initial PSG assessment, during initial client intake and assessment upon arrival, and during the 90-day assessment, and report address those concerns to RRP leadership and Welcome Corps. 
  • Provide ongoing support for Welcome Corps and develop a foundation for the broader Welcome Corps+ initiative to develop systems, both refugee and non-refugee specific, to provide meaningful access to all ORR eligible beneficiaries in Arizona.              

Skills Preferred:
Experience Required:
  • Exceptional written, verbal, and interpersonal communication skills, and customer service oriented. 
  • Basic knowledge of refugee resettlement or strong teachability. 
  • Skill in research, planning, outlining, and submitting, and managing reports. 
  • Proficiency in Microsoft Office and Google Suites. ¦ Proficiency in social media platforms (e.g., Facebook, Twitter, Instagram).         
Experience Preferred:
  • At least four years of experience implementing mission-driven programming related to refugee resettlement, entrepreneurship, education/training, or other related fields. 
  • “Systems thinking” approach to organizing data, processes, and people, including the ability to collect, organize, analyze, and disseminate significant amounts of information with attention to detail and accuracy. 
  • Knowledge of mainstream public benefits preferred. 
  • Familiarity with Salesforce desired. 
  • Fluency in a second language is a plus (please indicate on resume).          

Education Required:
  • Bachelor’s degree in public or business administration, Social Work, Sociology, or related field and 1 year of experience in project coordination (e.g., writing policy/procedure, managing the day-to-day operations/activities of a project, tracking projects, preparing, and making formal presentations to partners, management, entities, etc.) social and economic development, communications, or public policy development, or a comparable combination of education and experience.
