Position Title: Japanese Bilingual Executive Assistant andSales Support Specialist
Location: Torrance, CA (Onsite)
Reports to: President
FLSA: Non-Exempt, Full-Time
Working Hours: 9am – 6pm (M – F)


OVERVIEW:
A global food manufacturing company is seeking a highly organized and detail-oriented Executive Assistant and Sales Support Specialist to provide comprehensive administrative and Sales Support to the Company President. The ideal candidate will possess exceptional communication and interpersonal skills, a strong understanding of sales processes and customer relationship management, and the ability to manage multiple projects simultaneously under tight deadlines.


ESSENTIAL DUTIES AND RESPONSIBILITIES INCLUDE BUT NOT ARE LIMITED TO:
• Manage and maintain the President’s existing key customer accounts on behalf by serving as a liaison between the President and internal and external stakeholders, ensuring seamless communication and collaboration.
• Provide comprehensive administrative support to the Company President, including managing calendar, scheduling appointments, handling correspondence, and preparing reports.
• Proactively manage the President's sales pipeline, including tracking key accounts, identifying opportunities, and preparing sales proposals.
• Coordinate with cross-functional departments such as QA, R&D, Purchasing, and global headquarters in Japan to support the President's sales activities.
• Act as the primary point of contact between the President and key account customers, ensuring positive and lasting client interactions.
• Facilitate sales order fulfillment and coordinate with various departments, including QA, R&D, Purchasing, and the global headquarters in Japan.
• Collaborate with the sales team to gather market insights, track sales performance, and contribute to strategic planning.
• Manage the President's travel arrangements, including booking flights, hotels, and transportation.
• Handle incoming calls, emails, and inquiries on behalf of the President.
• Arrange and coordinate trade shows, conferences, and other events as needed.
• Maintain a confidential and organized filing system for the President's documents and records.
• Prepare and organize documents, presentations, and reports for the President.
• Conduct research and compile information to support decision-making processes.
• Provide general administrative support to other corporate members, including booking travel, arranging meetings, and handling correspondence.
• Other duties requested by President.


QUALIFICATIONS:
• Bilingual Japanese and English (Japanese reading, writing and speaking).
• Bachelor's degree in Business Administration or a related field preferred.
• Proven experience as an Executive Assistant, Sales Support or in a similar role.
• Strong organizational and multitasking abilities.
• Excellent communication and interpersonal skills, with the ability to build rapport with individuals at all levels of the organization.
• Proficiency in Microsoft Office Suite and CRM tools.
• Attention to detail and ability to work independently and as part of a team, with a positive and proactive attitude.

The base pay range above represents the low and high end of the base compensation range we reasonably expect to pay for this position. Actual base compensation will vary and may be above or below the range based on various factors including, but not limited to, geographic location, actual experience, and job performance. The range listed is just one component of the total compensation package for our employees.
