Title:IT Manager

Join us! as an IT Manager with a primary focus on vendor management, you will play a critical role in overseeing and coordinating the IT services provided by our outsourced IT vendor. Your responsibilities will include ensuring that our IT vendor meets the agreed service levels, aligning their services with our business needs, and fostering a strong working relationship with the vendor. You will also collaborate closely with internal stakeholders to understand IT requirements and ensure that they are effectively communicated to the vendor.
Key Responsibilities:
1. Vendor Management:
- Oversee the relationship with our outsourced IT vendor, including contract negotiation, performance monitoring, and issue resolution.
- Define and communicate service level agreements (SLAs) with the vendor, ensuring that they meet our business needs and expectations.
- Conduct regular meetings with the vendor to review performance, discuss upcoming projects, and address any concerns.
- Evaluate vendor performance against SLAs and KPIs, and initiate corrective actions as needed.
- Manage the vendor budget, ensuring that services are delivered within agreed-upon financial parameters.
2. IT Service Coordination:
- Act As the primary point of contact between internal stakeholders and the IT vendor, facilitating communication and collaboration.
- Gather IT requirements from various departments and translate them into actionable tasks for the vendor.
- Coordinate the implementation of IT projects and initiatives, ensuring that they are delivered on time and within budget.
- Provide guidance and support to internal teams regarding IT systems and processes, leveraging the expertise of the vendor when necessary.
- Monitor IT service delivery to identify areas for improvement and optimization.
3. Risk Management and Compliance:
- Assess and mitigate risks associated with IT vendor services, such as data security breaches or service disruptions. Including but not limited to Health Information Systems.
- Ensure compliance with relevant regulations and standards, such as HIPAA or industry-specific requirements.
- Work with the vendor to implement security best practices and measures to protect sensitive information.
- Conduct regular risk assessments to identify potential threats and vulnerabilities to the organization's IT infrastructure, and develop strategies to mitigate these risks.
- Development/update of appropriate policies, procedures, and guidelines for information security systems to safeguard the integrity, confidentiality and availability of electronic protected health information (PHI) and personal identifiable information (PII).
- In coordination with the Privacy Officer, provides a mechanism for information security incident reporting and violations. Investigates and manages information security incident and violations.
4. Continuous Improvement:
- Stay informed about emerging technologies and industry trends, identifying opportunities to enhance IT services and capabilities.
- Drive continuous improvement initiatives within the IT vendor relationship, seeking ways to optimize performance and reduce costs.
- Solicit feedback from internal stakeholders to identify areas for improvement in IT services and vendor management processes.
- Continuously monitor and evaluate the effectiveness of security controls and practices, and implement improvements as necessary to address emerging threats and vulnerabilities.
5. Administrative Safeguards
- Create and maintain comprehensive IT security policies covering areas such as data access, usage, retention, and disposal, as well as acceptable use policies for information systems.
- Implement and manage user access controls to ensure that only authorized individuals have access to sensitive information and systems.
- Develop and maintain an incident response plan to effectively respond to and recover from security incidents or data breaches.
- Conduct regular security audits and assessments of IT systems and processes to ensure compliance with policies and standards, and provide reports to management on the state of IT security.
- Establish and enforce change management procedures to control and track changes to IT systems and configurations, minimizing the risk of unauthorized or unintended changes.
- Develop and maintain a disaster recovery plan to ensure the timely recovery of IT systems and data in - the event of a natural disaster, cyberattack, or other disruptive event.
- Maintain thorough documentation of IT systems, processes, and security controls, and ensure that documentation is kept up-to-date and accessible to relevant stakeholders.
- Serve as the central point of contact for coordinating responses to security incidents, working closely with other departments such as legal, human resources, and public relations as needed.

- Ability to multi-task and stay organized in a fast-paced environment.
- Other duties as assigned that relate to this role’s scope and ensure HAH meets its mission and strategic goals.
Qualifications:
- Pursuing or possessing an Associate’s degree in Computer Science, Information Technology, or a related field.
- Pursuing or possessing an CompTIA Certification; CompTIA A+, CompTIA Network+, CompTIA Security +, CompTIA IT Fundamentals (ITF+)
- Proven experience in IT vendor management, preferably in a similar role.
- Strong understanding of IT service delivery processes and methodologies.
- Excellent communication and interpersonal skills, with the ability to build effective relationships with internal stakeholders and external vendors.
- Solid project management skills, with the ability to prioritize and manage multiple tasks simultaneously.
- Knowledge of risk management principles and compliance requirements.
- Strong working knowledge of Health Insurance Portability and Accountability Act (HIPAA), Personal Health Information (PHI), Personal Identifiable Information (PII), Electronic Medical Records (EMR), databases, and medical record documentation.
