Under the general direction of the Supervisor, Executive Administrator, the Imaging Specialist is responsible for document scanning, indexing, retrieval, and sending of confidential electronic documents to designated team members in an efficient, timely, accurate, and productive manner. The Imaging Specialist will occasionally communicate with the Revenue Audit team. This department is subject to confidential information and is required to always use the utmost discretion.
Essential Duties & Responsibilities
1. Scans and indexes original documents into a database within a specified time frame.
2. Collects, sorts, and prepares all requested documents for imaging.
3. Inputs proper information into database fields needed for document retrieval using the designated fields for each document type.
4. Ensures documents are maintained and archived in an organized and retrievable state (manual or electronic) for accountability and access. Follows the established SMCY-0049 Document Retention.
5. Keeps track of all documents in correlation to new entries, recently retrieved files and alterations to existing documents. Ensure consistency and quality of documents.
6. Provide quality assurance for images and data entered. Performs periodic self-audits to ensure documents are scanned properly.
7. xports data to proper folders for document retrieval by specific departments. Assists end-users in the retrieval of documents from the database.
8. Responsible for daily index build to database.
9. Performs other duties as assigned to support the efficient operation of the department.
Education/Experience/Qualifications
- High School Diploma or equivalent required.
- One (1) year of general administrative experience required.
- Intermediate proficiency with Microsoft Office Excel, Word, PowerPoint, SharePoint, and Teams required.
- Basic knowledge of network hardware and software is required.
- Excellent verbal and written communication skills are required.
- Must display exceptional judgment, emotional intelligence, and the ability to drive results while maintaining strict confidentiality of sensitive information.
- Must have the ability to communicate with multiple teams, coordinate activities/tasks among departments, and contribute to cross-team alignment, collaboration, and information sharing.
- Must be able to thrive in a fast-paced environment, be open to change and ambiguity, have creative thinking and strong problem-solving skills, and possess an ownership attitude for projects and assignments.
- Must have schedule flexibility including evenings, weekends, and holiday shifts.
Certificates/Licenses/Registrations
- At the discretion of the San Manuel Tribal Gaming Commission, you may be required to obtain and maintain a gaming license.
