Job description

JOB SUMMARY

Under the supervision of a higher classified employee, performs a variety of Human Resources, recruitment, hiring, employee services and other office tasks which require an understanding of departmental operations, a high degree of accuracy, judgment, and interpersonal and organizational skills. Assists with and coordinates Human Resources administrative tasks, responsibilities, projects, and priorities as assigned. Handles confidential and sensitive information. Performs related work as assigned.

EXAMPLES OF DUTIES

  • Performs detailed, varied and responsible office support work which may require the exercise of independent judgment and the application of knowledge related to the area assigned.
  • Ensures customer service standards are delivered effectively and efficiently, while identifying and recommending process improvements based on organization needs and industry best practices.
  • Maintains various records of hours worked and leave usage by employees, contractors, and clients, and submits biweekly time sheets, as assigned. Coordinates with County staff to facilitate payroll functions.
  • Develops, coordinates, and administers recruitment and hiring processes, including position postings and the review and screening of applicants.
  • Supports professional development and training for agency staff as assigned.
  • Manages and monitors employee leaves of absence and work-related injury and illness claims.
  • Provides information to other agencies, the public, or County staff in person, in writing, or over the telephone.
  • Accepts and processes forms, verifies for completeness.
  • May make credit purchases, accept payments and provide an appropriate receipt, and handle petty cash.
  • Organizes and maintains various files and records, confidential, sensitive and otherwise; locates information as required, tracks the issuance of official documents; may purge files and/or prepare information for long-term storage.
  • Researches and assembles information from a variety of sources for the completion of forms or the preparation of reports; may make arithmetic, statistical, or payroll calculations.
  • Enters and retrieves data and prepares reports using an online or personal computer system; may operate and maintain databases or other automated files and systems.
  • Types correspondence, reports, forms, and specialized documents from drafts, notes, dictated tapes or brief instructions using a typewriter or word processor; may compose standard correspondence independently.
  • Maintains confidentiality of sensitive employee information and related data and information processed.
  • Organizes and prioritizes own work.
  • Establishes and maintains effective working relationships with those contacted in the course of the work.
  • Types or enters data accurately from printed copy.
  • Uses standard office equipment and computers as well as specialized technologies in the course of the work. Enters data into a computer terminal with sufficient speed and accuracy to perform the work assigned to that position.
  • Performs all other duties as assigned.

EMPLOYMENT QUALIFICATIONS

Knowledge of:

  • County or departmental activities and functions or the application of policies, regulations and procedures.
  • Business mathematics. Making accurate arithmetic calculations.
  • Research, data and information management and analysis; report preparation and presentation techniques.
  • Basic business data processing principles and systems, including the use of word processing or personal computing equipment.
  • Office administrative practices and procedures, including filing and the operation of standard office equipment.
  • Organizing and maintaining accurate files and records. Record-keeping principles and practices.
  • Using sound, independent judgment within established procedural guidelines.
  • Proper form(s) for business correspondence.
  • Typing accurately at a rate of 50 words per minute from printed copy.
  • Computer applications related to the work.

Skill in:

  • Interpreting, applying and explaining policies, procedures and regulations.
  • Collecting and organizing information and data.
  • Using sound, independent judgment within established policy and procedural guidelines.
  • Problem analysis and the subsequent provision of options and recommendations.
  • Effective interpersonal communication.
  • Preparing clear, concise and effective written materials.
  • Maintaining accurate records and files.
  • Planning and conducting efficient and effective inter-personal interactions and meetings.
  • Establishing and maintaining effective relationships with individuals of diverse socioeconomic, economic, and ethnic backgrounds.
  • Working cooperatively and effectively within a team and the larger organizational setting.

Licenses and Certifications

  • Must possess a valid driver’s license and be able to work at any designated work site.
  • Must meet qualifications to be a Law enforcement Network (LEIN) operator.

PHYSICAL DEMANDS

Duties require sufficient mobility to work in a normal office setting and use standard office equipment including a computer, vision to read printed materials and a computer screen and hearing and speech sufficient to communicate in person or over the telephone. Duties may require employee to exert 20 to 50 pounds of force occasionally, or 10 to 25 pounds of force frequently, or greater than negligible up to 10 pound of force constantly to move objects. Must be able to bend, reach and lift up to twenty-five (25) pounds. Must be willing to work varied hours and extended shifts including holidays and be on-call.

EDUCATION

Equivalent to graduation from high school. Some college, business or technical school training in the office administration or a related field is desirable.

EXPERIENCE

Three (3) years of general clerical or office support experience is preferable.
