Job description

JOB PURPOSE:
The HR Specialist will be working in the areas of Benefits and HRIS administration. Responsibilities include various aspects related to Benefits and HRIS administration such as leave and absence management, accrual maintenance and payouts; union reports such as hours, add/termed members to benefit plans, and other related reports; leave calculations, benefit and carrier billing and reconciliations, pension administration, benefit administration tasks such as open enrollment, new hire processing, notification to carriers of employee status changes, etc. The position is responsible to have knowledge of various time off and accrual plans, benefits and retirement plan administration, and be able to effectively communicate to employees their benefits, as well as be a liaison between HR, payroll, timekeepers, vendors, etc.
JOB RESPONSIBILITIES:
  • Responsible for the managing the accruals for non-union and union employees. This includes, but is not limited to, the accrual payouts for separated employees; managing time off for leaves of absences and illnesses; ensuring time is accrued and paid out according to CenterLight PTO policy and respective collective bargaining agreements.
  • Calculate accrual payouts for Best Choice and CenterLight employees on their appropriate payroll cycle.
  • Generate reports on scheduled or as needed basis regarding hours worked and paid, reported wages for a period of time, etc... for collective bargaining agreement obligations, disability, workers compensation and other insurance requests.
  • Review reports and analyze for outliers and significant discrepancies between reports and escalate situation for review and remediation such as for billing reconciliation, pension reports, etc.
  • Review and reconcile benefit carrier bills such as medical, dental, vision, supplemental plans (ie. supplemental life, STD, etc.), employee voluntary plans (ie. FSA, DCA, transit/parking, legal,), COBRA administration services, union Pension and Benefit plans, etc... These task, include, but are not limited to,
    • Accessing and receiving bills in timely fashion through carrier portals. Place bills in Benefits shared drive for historical information and history.
    • Ensure premiums, fees, and charges are correct as compared to contracted rates. This also includes rates determined in appropriate collective bargaining agreements and subsequent MOAs.
    • Reviewing bills to ensure HRIS updates and integration to carriers were sent and received correctly and reflected as such in bills.
    • Ensure all transactions of new, separated or transferred (change of hours/status) of all employee are added/modified/removed from bills.
    • Reconcile bills and compare to previous billing statements.
    • Manage and review credits are tracked and issued back to Company; follow up and question carrier on status of credits.
    • Communicate with carrier on billing discrepancies on a timely/real time basis and escalate situation as soon as possible.
  • Responsible for vendor management with carriers. Establish and maintain communications with vendors on scheduled and as needed basis.
  • Coordinate and work with HR Generalist (Benefits/HRIS) and Sr. HRIS Manager on the Workday tasks and assignments regarding benefit administration, including, but not limited to: New Hire Enrollments, terminations, status changes, transfers, beneficiaries, absence and leave management workflow and status changes in Workday, entering sick and accrued time as per policy, work with integrations to ensure retirement deferrals and loans are processed, etc.
  • Manages all leave requests, including but not limited to, Short Term Disability (STD), Family and Medical Leaves (FMLA), Paid Family Leave (PFL), Workers Compensation, and other types of leave management.
    • Implement and maintain Group Benefits databases and update information in Workday systems.
    • Ensure proper follow up of all leave paperwork, timely submission to insurance companies, and effectuate proper accrual payments are entered into Workday.
    • Prepare regular benefit reports in Excel or by extracting data from the database (ie. LOA reports).
    • Develop and maintain online dashboards and forms, benefits folders, shared drives, etc.
    • Provide exceptional customer service support to internal and external customers. Must follow up on all HR Benefit emails, phone calls and other communications to close the communication gap with employees on their benefits in a timely fashion.
  • Work with Benefits Generalist, vendors, third parties and internal marketing team to develop communication tools to enhance and promote an understanding of the company's benefits package and wellness programs for benefits orientation, open enrollment, etc.
  • Present at New Hire Orientation as needed and be a subject matter expert in Benefits Administration, accrual and leave management and assist Onboarding division with new hire processing and act as backup for Human Resources Policies and Procedures presentation and materials.
  • Create and conduct supplemental Benefit presentations using audiovisual tools including power point and videos.
  • Perform other duties as assigned.

Hours: 40 Hours
Schedule: 8:30 AM - 5:30 PM
QUALIFICATIONS:
Education:
  • Bachelor's degree in Human Resources, or a related field (preferred).

Experience:
  • Minimum three years of work experience in a Human Resources with benefits administration.

Other:
  • Communicate with employees and payroll departments, specifically cognizant of pay period deadlines and timelines.
  • Excellent communication (verbal and writing) skills.
  • Moderate EXCEL skills preferred, such as knowledge of Pivot Tables and equations/formulas.

Physical Requirements
Individuals must be able to sustain certain physical requirements essential to the job. This includes, but is not limited to:
  • Standing - Duration of up to 6 hours a day.
  • Sitting/Stationary positions - Sedentary position in duration of up to 6-8 hours a day for consecutive hours/periods.
  • Lifting/Push/Pull - Up to 50 pounds of equipment, baggage, supplies, and other items used in the scope of the job using OSHA guidelines, etc.
  • Bending/Squatting - Have to be able to safely bend or squat to perform the essential functions under the scope of the job.
  • Stairs/Steps/Walking/Climbing - Must be able to safely maneuver stairs, climb up/down, and walk to access work areas.
  • Agility/Fine Motor Skills - Must demonstrate agility and fine motor skills to operate and activate equipment, devices, instruments, and tools to complete essential job functions (i.e. typing, use of supplies, equipment, etc.)
  • Sight/Visual Requirements - Must be able to visually read documentation, papers, orders, signs, etc., and type/write documentation, etc., with accuracy.
  • Audio Hearing and Motor Skills (language) Requirements - Must be able to listen attentively and document information from patients, community members, co-workers, clients, providers, etc., and intake information through audio processing with accuracy. In addition, they must be able to speak comfortably and clearly with language motor skills for customers to understand the individual.
  • Cognitive Ability - Must be able to demonstrate good decision-making, reasonableness, cognitive ability, rational processing, and analysis to satisfy essential functions of the job.

Salary Range (Min-Max):
$70,000.00 - $75,000.00
