Job description

The successful candidate will coordinate Imperial’s health and wellness benefits, assist with benefits set-up, maintenance, processing and reporting in the UKG HRIS/Payroll system. The Benefits/HRIS Specialist is expected to perform responsibilities with a commitment to providing superior service to Imperial team members, and maintain efficient and effective departmental operations. Above all, the Benefits/HRIS Specialist must fulfill the needs of the office in a manner which is consistent with Imperial’s Vision and Values.

JOB DESCRIPTION/RESPONSIBILITIES:

BENEFITS ADMINISTRATION

  • Ensure that Imperial benefits are administered in accordance with federal and state regulations and Imperial policies and procedures, under the direction of the HR Manager.
  • Acts as administrative liaison and maintains ongoing relationship with benefit broker and vendors.
  • Coordinates the annual open enrollment process, including: participation in benefit meetings, ensuring annual benefits statements are produced and distributed, and open enrollment changes are processed timely and efficiently with payroll and vendors.
  • Conducts weekly HR Benefit orientation for new hires and gathers proper documentation. Ensures that all required employment and benefits documentation and information are complete and processed efficiently and effectively.
  • Process ongoing Life, FSA, HSA, STD, LTD, WC, health, dental and vision transactions with Imperial employees and vendors as necessary.
  • Reconciles and audits monthly insurance bills for health, dental, vision, life (basic and voluntary) for accuracy within one week of receipt.
  • Responsible for COBRA administration and coordinating efforts with vendors, employees and payroll.
  • Completes DOL notices in accordance with compliance requirements.
  • Coordinates 401k program including additions, changes, reporting and annual audit and testing.
  • Ensures compliance with the ACA requirements including maintaining the Measurement, Stability and Administrative periods and annual filing requirements.
  • Assists employees by answering questions, and following up timely.

Workers Comp

  • Tracking all team members on workers compensation.
  • Provides information and wages to carrier as needed.
  • Maintains OSHA Log as well as the internal WC monitoring spreadsheet.
  • Explains WC benefits and coordinates medical treatments for team members as needed.

HRIS

  • Coordinate efforts associated with UKG HRIS/Payroll system, including the following:
    • Participate in meetings with users and leadership/management team to define system(s) requirements and / or resolve issues.
    • Create Queries and Reports as needed.
    • Manage UKG Home Page, company Info Page, etc. with helpful and informative documents: News and Events, Wellness Tips, Available job postings, etc.
    • Maintains and updates changes on the Career Pages of the Imperial website.

Leave Management

  • Manages all aspects of team member leave eligibility and tracking as it pertains to FMLA, state leaves, and Imperial policies and procedures.
  • Keeps detailed records of team members on all types of leaves.
  • Acts as liaison between team member and disability/WC carrier as issues arise.
  • Educates team member regarding their rights and responsibilities while on leave as it pertains to their leave type.

Wellness Coordinator

  • Coordinate and facilitate Wellness team meetings and planning sessions.
  • Plans annual Wellness activities by coordinating with Imperial Supervisors, Managers, Wellness team, and vendors.
  • Develop and implement wellness activities throughout the year.

Other Essential Responsibilities

  • Recommend and implement changes and improvements to Human Resource systems and procedures to ensure consistency and legal compliance across all Imperial affiliated agencies.
  • Assist with Company Function Planning (Annual Awards Banquet; Holiday Party).
  • Assists with the annual United Way Campaign
  • May function as department representative on internal committees.

REQUIREMENTS/QUALIFICATIONS:

  • Bachelor’s degree with at least three to five years’ experience in Human Resource
  • High level knowledge of EEO, FLSA, COBRA, HIPAA, ADA, ACA, WC, FMLA, Federal and State employment and benefit laws.
  • Knowledge of Human Resource procedures and policies, as well as an awareness of multi-state laws.
  • Excellent computer skills; proficient in Microsoft Office.
  • Highly organized, detail oriented, and ability to multi-task.
  • Ability to manage multiple projects with competing priorities and deadlines.
  • Proven records utilize discretion in dealing with confidential matters.
  • Excellent verbal and written communication skills to work with all levels of staff and management.
  • Experience working with UKG Software a plus.
  • Limited local travel required.
