We are looking to grow our diverse team with a Human Resources Coordinator. This is a full-time, onsite role, and you will be working at our main office located in Center City, Philadelphia.
Job Description
- Under the direction of the COO, provide day-to-day Human Resources, administrative support to the Firm’s operations and staff
- Responsible for all new hire onboarding including, but not limited to background checks, new hire paperwork administration, building access badge creation
- Administer payroll/HRIS system administration
- Responsible for all changes made in system through payroll change notice forms including new hires, terminations, salary and supervisor changes
- Manage the new employee orientation program, including coordination, setup, and presentation of general policies and procedures
- Respond to internal and external Human Resources related inquiries or requests and provide appropriate assistance or referral to the COO
- Administer health and welfare plans including enrollments and terminations, process required documents through payroll and insurance providers, and assist with COBRA administration and record keeping
- Assist with annual open enrollment process and employee presentations by arranging for distribution of materials from carriers, communicating changes to employees, and arranging on-site representation by providers, within deadlines
- Resolve employee complaints related to health and welfare plans, escalating issues as needed
- Act as liaison with benefits broker and various insurance carriers and fosters effective relationships with client representatives
- Acts as a resource to employees to ensure understanding and compliance with benefit and human resource policies and regulations
- Serves as point of contact for emergency coverage needs or work overflow issues securing and coordinating appropriate coverage/support
- Maintains all employee/contractor personnel files (active, termination, and medical files) and create new files as needed at time of hire
- Facilitate transferring of files for new or departing employees; including securing client transfer letters, coordinating with other firms, arranging onsite & offsite storage, etc.
- Facilitate communication and oversees processes with outsourced IT providers
- Support COO with staffing needs
- Fully document all work and comply with development best practices
- Continually work towards strengthening industry knowledge and all relevant applications
- Adhere to all business processes while performing tasks
- Take on new tasks, responsibilities and other work-related duties as assigned by the COO
Qualifications
- Bachelor’s degree in Human Resources, business, or related discipline required
- Minimum of 1-3 years of Human Resources experience and a demonstrated track record of accomplishments
- Experience with payroll and/or HRIS systems
- Ability to think ahead and plan over a 1-2-year time span
- Ability to organize and manage multiple priorities with effective time management
- Excellent organizational skills with an eye for details
- Ability to be flexible to adapt and act quickly when urgent matters require it
- Ability to work and maintain patience with diversified individuals of various ethnic backgrounds and professional competencies and work with all levels of personnel including Firm leadership
- Project a positive, professional image toward clients, attorneys, vendors and staff in all interactions and situations.
- Follow all Firm rules, policies and practices as outlined by the Employee Handbook and/or by the COO
- Must also be able to work independently as within a team and possess a positive, "can-do" attitude
- Maintain all client, Firm and employee information as confidential and share only on a need to know basis
- Excellent computer skills including all MS Office applications. (Word, Excel, Outlook, PowerPoint, etc.) required
- Must be presently authorized to work in the U.S. without a requirement for work authorization sponsorship by our company for this position now or in the future
