The Temporary Human Resources Assistant coordinates and provides administrative, operational and procedural support in our Human Resources department. This temporary position is expected to last for 6 months.
Provide recruitment administrative support including postings jobs, scheduling panel interviews with candidates and internal panel, preparing interview materials for panels, and monitoring panel interviews.
Prepare onboarding and separation documents for hires and terminations.
Prepare vouchers in excel for vendor invoices.
Track performance reviews, send communications related to deadlines and contribute to process improvements.
Perform Human Resources administrative tasks including maintaining and updating HR files.
Run reports from HR system and audit data to ensure complete and accurate data.
May perform backup reception functions with a high customer service level.
Minimum Qualifications
Any combination of training and experience that would provide the required knowledge, skills, and abilities is qualifying. A typical way to obtain the required qualifications would be:
Equivalent of five years’ office, administrative or Human Resources experience
Associatedegree orequivalent of two years of college (90 quarter units or 60 semester units) from an accredited college or university and equivalent of three years’ office, administrative or Human Resources experience, including some combination of document review and processing, administrative or financial record keeping, customer service
Additional Requirements
May travel within Alameda County as necessary to carry out job duties.
Knowledge of:
Office administrative practices and procedures, including records and file management
Operating standard office equipment.
HR systems
Basic budgetary and financial record keeping techniques, including processing invoices and contracts
Research and report preparation principles
Event, meeting, training logistics
Proficiency in Microsoft Office 365 Suite including Excel
Ability to:
Organize and prioritize assigned work, and work well under deadline pressure in a fast-paced organization
Maintain confidentiality and HIPAA Compliance
Support and deliver high quality customer service to a diverse population, in person, remotely, by email and telephone
Operate standard office and audiovisual equipment
Communicate effectively, verbally and in writing, including ability to write and produce reports and meeting minutes
Think proactively, anticipate problems, analyze situations, consider alternatives and with supervisory approval develop effective solutions
Exercise judgment within established policies and procedures
Following Supervisory instruction, take initiative and work independently on assigned work
Establish and maintain courteous, professional, and effective working relationships with those contacted in the course of work, work as part of a team
Maintain accurate records and files, pay close attention to detail
Meet attendance requirements of the position, be punctual and timely in meeting all requirements for work performance
Adapt, with minimal or no advance notice, to changes in agency operations and work assignments or procedures

- We are working a hybrid in-office schedule and may return full-time at an undetermined date.
- All First 5 employees must live and work in California.
- The salary range for this position is $63,689.60 - $74,838.40and as an independent government agency, the posted salary is the set salary range for this position. We cannot offer salaries above this posted range.
