Overview
The Princeton University Art Museum welcomes applications for the position of Staff Operations Analyst (SOA). This position will perform a wide variety of professional duties in support of the Museum's internal human resources functions; the ideal candidate is someone who fosters collaboration, has experience working with diverse work groups, looks to solve problems, and takes an active interest in learning about the business/departments they support. Under the general supervision of the Assistant Manager of Finance and Staff Operations, the Analyst will coordinate and administer various functional areas in all daily functions, including but not limited to reviewing timesheets, time and absence management, payroll management, student and staff recruitment, new employee onboarding/orientation, Art Museum's personnel policies, and provide technical assistance to hiring managers and supervisors.

Responsibilities
Staff Management
  • Functions as the primary user for the University's Art Museum talent acquisition systems (CAPS, AHIRE, and JOBX) and assists other Art Museum staff members with navigating these systems and following hiring processes.
  • Prepares forms required by the University for staffing actions such as new hires, terminations/retirements, and status changes.
  • Assists with reviewing and editing job descriptions and posting texts for advertising.
  • Liaises with the University's human resource teams for talent acquisitions.
  • Serves as the first contact for employees and supervisors regarding employee relations issues and interpretation and advice on HR policies and procedures.
  • Serves as an internal resource and liaison to faculty, staff, and students regarding HR matters.
  • Facilitates and compiles information for the hiring of DOF hiring personnel.
  • Coordinates and facilitates the Art Museum's staff on the Annual Performance and Conflict of Interests processes.
  • Leads "New Art Museum Employee Orientation" for all benefits-eligible staff members as they start with the Art Museum.
  • Assists the hiring managers and supervisors with onboarding and offboarding all employees within the Art Museum.
  • Monitors absence management system reports for all staff members, working with Museum staff as necessary to assure compliance.
  • Collaborates with education on administrating the Internship Program
  • Assists with the implementation of personnel policies, procedures, and processes.

Financial Analysis and Reporting
  • Maintains and updates confidential Merit Increase Program reports and updates labor Accounting with salary allocations.
  • Monitors Art Museum's FTE ratios per budget allowances.
  • Works with AMFSO and MFSO in the budgeting process and salary allocations for finding funding resources.
  • Maintains staff directory and provides staff information for annual reports.
  • Works with the MFSO on staff demographic analysis for reporting and surveys

Other Activities
  • Assists with the implementation of PUAM's DEIA plan concerning HR-related matters.
  • Stays informed and participates in DEIA training opportunities.
  • Monitors efficiencies, effectiveness, and equity of processes and procedures and recommends updates as necessary; consults with Art Museum department heads to ensure that processes, procedures, and improvements work across functional areas of the Art
  • Participates in relevant training and meetings to ensure Art Museum compliance with changing University policies and practices.
  • Assists with special projects as assigned.

Qualifications
Essential Requirements:
  • Bachelor's degree in human resources, public administration, or a related field; or a combination of education and three-plus years of full-time related experience with progressive responsibility in personnel, administration, finance, or customer-facing environment.
  • Outstanding expertise in written, interpersonal, and verbal communication skills, including solid competency in written grammar, punctuation, and vocabulary.
  • Superb attention to detail and accuracy of content.
  • Demonstrated ability to maintain confidentiality and discretion concerning financial and human resource-related information.
  • Ability to use excellent judgment with the utmost discretion in handling sensitive and confidential matters.
  • Demonstrated ability to handle in-person and digital correspondence with all levels of the organization professionally and courteously.
  • Possesses organizational and time-management skills, with the ability to multitask and prioritize competing and a high volume of tasks under tight deadlines.
  • Have excellent interpersonal skills, including customer service capabilities and a high degree of professionalism, flexibility, and patience.
  • Able to maintain composure and professionalism while working through stressful or emergencies.
  • Strong knowledge and operational command of Microsoft Office Word and Excel
  • Knowledge of state and federal personnel laws, policies, and procedures
  • Ability to research and analyze data.
  • Ability to communicate with a diverse group.

Preferred Requirements:
  • Experience working in a museum, higher education, or not-for-profit environment.
  • Knowledge and comprehension of Princeton University policies, procedures, regulations, and overall business processes
  • Knowledge of Microsoft Visio
  • Interests in museums, art history, and visual cultures.
