The day to day...
- Acts as a subject matter expert in the management of benefit documents, workflows and employee inquiries as it relates to employee benefits, including group health plans, ancillary plans, paid days off, grandfathered paid leave plans and retirement options.
- Provides guidance on benefit plan information to employees and dependents, including, but not limited to, new hire enrollment, open enrollment, continuation of coverage information, evidence of insurability applications, death claims and government required notices and compliance documents.
- Maintains a broad knowledge of company policies, benefit plan documents and legal and regulatory updates as it relates to employee benefits and group health and welfare plans
- Works closely with employees daily to answer benefits questions regarding the insurance plans, how to enroll, document upload assistance and qualifying events
- Understands various types of leave (FMLA, ADA, etc), the required communications suppounding leaves, and can work with employees and management to discuss leave options
- Responsible for supporting the annual open enrollment efforts; helps with company wide communications and overall tracking efforts
- Applies documented procedures, policies and other reference materials to accurately resolve employee inquiries, utilizing sound judgment and professionalism.
- Acts as a liaison and maintains appropriate relationships with benefit vendor representatives, Dycom corporate benefits team members and HRIS teams, and Field Managers/ Administrative Assistants.
- Ensures compliance with HIPAA, maintaining employee privacy where appropriate, including confidentiality, protection of sensitive information and I9 compliance.
- Analyzes enrollment reports and issues, performing appropriate troubleshooting actions as needed in the UKG system
- Processes benefit plan enrollments and terminations in compliance with Dycom policy, IRS section 125 guidelines and benefit plan documents
- Processes all ACA (Affordable Care Act) related offers of medical coverage; update employees upon coverage termination
- Calculate and produce invoices for unpaid leaves of absences and manage benefit changes for employees on an unpaid leave, including FMLA, ADA, medical, personal, educational, military and immigration types of leaves; stay abreast on FMLA policy and legal requirements regarding benefit maintenance during periods of protected leave
- Manage the accurate and timely updates of all benefit-related premium adjustments in payroll and respond to payroll inquiries as it relates to benefits and retirement deductions; review and reconcile arrears and recycle reports from payroll
- Track, investigate, update, and close cases within the Leave Administration system; answer phone calls and respond to emails within established service-level agreement timelines
- Meet professional obligations through efficient work habits such as, honoring work schedules, meeting deadlines, and coordinating resources in an effective and timely manner
- Monitors and evaluates the completion of the new hire onboarding information, including the entry of confidential information: background check reports, MVR and drug screen clearance, and ensures all components are compliant
- Creates employee files in HRIS system, safeguards confidential information and maintains documents in the system
- Demonstrate the HR team customer service expectations and support the organization, as needed, with all other assigned duties
Qualifications:
- Associates degree and two (2) years specialized administrative support training, preferably in Human Resources OR comparable years of paid experience in the capacity of administrative assistant, benefits representative, coordinator, or other Human Resources position with similar responsibilities. Bachelors in Human Resources or related fields, preferred
- Knowledge and understanding of general benefits administration, including common state and federal regulations surrounding FMLA, DOL, HIPAA, PPACA (ACA), COBRA, ERISA and IRS regulations
- Skilled in understanding and applying applicable rules, regulations, policies, and procedures relating to group health insurance and retirement benefits
- Strong customer service mindset with excellent communication skills
- Critical thinking and analytical skills, with an attention to detail
- Collaborative team player with the ability to work independently
- Demonstrates good judgment and maintains confidentiality
- Ability to work under tight deadlines and handle multiple priorities
- Advanced computer skills to include the use of computer programs, such as Microsoft Office (Outlook, Word, Excel, PowerPoint); other HR systems experience, preferred.
- Ability to maintain professionalism in the office and remote work environment
