Job Summary
The Human Resources / Office Administratorprovides valuable support for a variety of Human Resources and local office administrative functions including personnel records management and maintenance within our HRIS system and 3rd party applications. Our ideal candidate has experience with Montana Human Resources procedures/processes and can juggle various office administrative tasks with precision.
Job Responsibilities
- Maintain strong customer service orientation for internal and external customers while also maintaining strong confidentiality.
- Assist in creating department and company policies and procedures.
- Provide support for the Corporate Human Resources Department in the areas of benefits and risk management.
- Organize, compile, update company personnel records and documentation.
- Provide recommendations to the management team on employee conflict resolution, and documentation for personnel issues.
- Manage and update HRIS for new hires, employee transfers, changes in job classification, salary adjustments, and other related employment matters.
- Manage HRIS ATS by initiating job requisitions and updating candidate status.
- Support all aspects of the Recruitment Strategy.
- Develop and update Job Descriptions and specifications.
- Monitor and apply best practices.
- Manage employee onboarding process including drug and background requests, production of offer information and orientation on the first day of employment.
- Manage employee apparel ordering and transmitting information to vendors.
- Manage employee engagement initiatives, including onsite employee team building events.
- Complete investigations regarding employee complaints, policy violations, reasonable suspicion and post-accident.
- Assist local and state agencies with requested employment data.
- Manage local Workers Compensation and Leave of Absence programs.
- Track and audit employee time and attendance.
- Process bi-weekly Payroll preparation including data collection from outer offices.
- Update and maintain employee files and records in electronic form.
- Generate various reports and conduct frequent audits.
- Manage birthday, anniversary, and PTO calendars.
- Assist in other responsibilities as assigned.
Education
Associate degree in Human Resources or relevant field, or a minimum of 5 years of equivalent work experience.
Qualifications and Experience
- Must be able to pass drug and background checks.
- Excellent written and verbal communication skills.
- Ability to prioritize diverse tasks.
- Advanced skills in Microsoft Office (Outlook, Excel, Word)
- Excellent organizational skills with strong attention to detail.
- Proven work experience in Human Resources or relevant role.
- High Level of confidentiality.
- Thorough knowledge of Montana labor laws.
- Solid team player with excellent interpersonal skills who possesses the ability to communicate effectively with peers, managers, and across departments.
- Understanding of general Human Resources policies and procedures.
- Hands-on experience with Human Resources Information Systems (HRIS).
- Excellent problem solving and conflict resolution skills.
- Ability to execute multiple tasks efficiently and effectively.
Supervisory Responsibility
This position has no supervisory responsibilities.
Work Environment
This job generally operates in a professional office environment. This role routinely uses standard office equipment such as computers, phones, photocopiers, filing cabinets and fax machines. The noise level in the work environment is low.
