Description

We are actively seeking a dedicated HR Generalist to join our team. This individual will have experience in Human Resources and understanding of Diversity, Equity, and Inclusion (DEI) strategies. The ideal candidate will possess professional competencies in Human Resources, including expertise in maintaining records, developing recruitment and retention strategies, addressing employee inquiries, and conducting HR investigations.
A successful candidate will excel in developing and maintaining systems, documents, and standards for the Human Resource function of the organization. Summary
Under the direction of the CEO, the Human Resources Coordinator provides support in developing and executing key areas of the human resources function, and the best possible administrative support to the leadership team, in accordance with company and legal policies and procedures.
Essential Duties and Responsibilities
This list of duties and responsibilities is not all inclusive and may be expanded to include other duties and responsibilities as management may deem necessary from time to time.
**This position is new to our agency and a successful candidate will work closely with the CEO and external supports to develop several systems and documents. After development, they will ensure their implementation and manage continued best practice.
1. Staffing:

  • a. Maintain updated and legally compliant job descriptions; review annual and create new job descriptions with the CEO as needed.**
  • b. Execute recruitment strategy, including but not limited to: identifying appropriate resources for online and in-person recruiting, manage advertising process, screen applicants, develop interview process and tools, coordinate necessary background data collection and processing, lead selection process, create correspondence. **
  • c. Oversee a comprehensive and effective onboarding process to promote retention, monitor 90-day orientation period for new employees.**
  • d. Ensure effective onboarding for new employees, including by not limited to: initiating and managing onboarding process in HRIS, scheduling and facilitating new employee orientation and tools, communicating with new hires and staff, preparing related internal communication, ensuring accurate and timely completion of all required new employee paperwork and updates to HRIS.
  • e. Manages unemployment process. Ensures accurate and thorough documentation, responds to all unemployment claims timely, coordinates participation and assists supervisors and managers with the process.
  • f. Manages all employment verification requests according to organizational policy.
  • g. Manage comprehensive tracking system for training requirements to ensure compliance.**
  • h. Create and deliver training content for staff members.
  • i. Conducts all exit interviews.

2.Employee Benefits:
  • a. Participate in annual employee benefit assessment and selection process.
  • b. Schedule and conduct benefit meetings. Ensure new employees complete all benefit paperwork accurately and follow-up on late paperwork. Process all completed paperwork according to procedures.
  • c. Complete and distribute the insurance premium summary. Notify payroll of correct payroll insurance deductions. Complete disability insurance paperwork.

3. Employee Retention:
  • a. Manages bi-annual employee survey, gathering and presenting data to leadership for effective action planning.
  • b. Develops and leads employee engagement and culture building activities.
  • c. Audit job descriptions for accuracy and to ensure DE&I, identifying staff competencies required for each position**
  • d. Manage annual performance review standards, prioritizing timely and effective coaching and personal development goals.**
  • e. Supports CEO in updated and managing handbook policies and procedures.

4.Workers' Comp:
  • a. Maintain all Workers' Compensation files accurately and confidentially.
  • b. Complete first report of injury forms and process.
  • c. Complete annual audit

5. Subject Matter Expert:
  • a. Ensure compliance with local and federal labor standards and maintain current knowledge of applicable state and federal wage and hour laws.
  • b. Lead all Human Resource related activities, including but not limited to: investigations, disciplinary meetings, coaching, managing conflict, assisting employees with resources.
  • c. Assists CEO in decision making by providing data, researching, identifying trends and potential issues.
  • d. Tracks and monitors turnover and retention data for effective strategy development**
  • e. Develops and monitors HR data for informed decision making

6.Diversity, Equity, and Inclusion:
  • a. Scrutinize HR policies to assess alignment with DEI principles, identify areas for improvement to promote equal opportunity, non-discrimination, and inclusivity.
  • b. Conduct comprehensive document review, ensure language and content reflect a commitment to DEI, promoting a workplace culture that embraces differences and values each individual.
  • c. Implement regular HR system audits to identify and correct any existing barriers or biases
  • d. Provide guidance on how to incorporate DEI principles into everyday work practices, fostering a more inclusive and understanding environment.
  • e. Stay informed about industry best practices and benchmarks related to DEI initiatives.
  • f. Introduce innovative strategies and practices that contribute to creating a workplace that values diversity and promotes equal opportunities.
  • g. Foster a collaborative and open dialogue to address concerns and implement meaningful changes.

7.Payroll:
  • a. Collect and verify timekeeping information; Calculate, process, and record bi-weekly payroll.
  • b. Handle employee inquiries regarding payroll issues, deductions, or taxes.
  • c. Administer employee benefits, such as health insurance, retirement contributions, and other voluntary deductions.
  • d. Ensure accurate accrual and tracking of employee benefits such as paid time off, holidays and pay differentials.

8.Documentation:
  • a. Responsible for maintaining and overseeing the completion of all required paperwork, records, documentation for employment records and other legal requirements.
  • b. Maintain confidentiality of human resource files and records.

9.Other:
  • a. Performs other duties and responsibilities and special projects as requested or required.

Technology:
  • Human Resource Information System (HRIS): Proficiency in using HRIS software (Paylocity) is essential. HRIS systems help manage employee data, track performance, and streamline HR processes.
  • Data Analytics: Analyzes HR data to make informed decisions, comfortable using analytics tools to interpret trends, track key performance indicators, and derive insights that can inform HR strategies.
  • Recruitment Software: Familiarity with applicant tracking systems (ATS) and other recruitment software is essential for managing the hiring process efficiently. This includes posting jobs, managing candidate pipelines, and ensuring compliance with hiring regulations.
  • Learning Management System (LMS): Proficiency in using an LMS is important for managing training and development programs. This includes tracking employee training progress, ensuring compliance with mandatory training, and assessing the effectiveness of learning initiatives.
  • Employee Self-Service Portals: Understanding and managing employee self-service portals can enhance employee engagement and streamline HR processes. This includes tools for benefits enrollment, time-off requests, and accessing HR-related information.
  • Collaboration Tools: Proficiency in using collaboration tools such as Microsoft Teams, or other project management tools can facilitate effective communication and teamwork.
  • Microsoft Office Suite: Proficiency in basic office software, such as Microsoft Word, Excel, and PowerPoint, is a fundamental skill.
  • Cybersecurity Awareness: Understanding basic cybersecurity principles and practices is important to safeguard employee information and maintain compliance with data protection regulations.

QUALIFICATIONS

Education and/or Experience: Requires four years of high school diploma and two to three years of Human Resources professional experience; or a combination of education and experience.
Language Skills: Ability to read and interpret documents such as safety rules, employee policies and procedures, handbooks, and benefit information. Ability to prepare routine reports and correspondence. Ability to communicate effectively with employees at all levels of the organization.
Mathematical Skills: Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals. Ability to compute rate, ratio, and percent.
Reasoning Ability: Ability to apply common sense understanding to carry out instructions furnished in written, oral, or diagram form. Ability to deal with problems involving several concrete variables in standardized situations.
