Job Summary:
The Event Manager supports the meeting planning and production needs of national conferences and seminars by building out meeting specifications, adhering to financials budgets, and managing onsite events. This role works closely with team-members, individuals from other departments and numerous outside organizations, including speakers, exhibitors, and vendors. This position manages projects within standard guidelines and processes, including evolving needs and requirements as well as last-minute changes with a calm and logical approach.

- Evaluate hotel proposals, communicate and make recommendations to conference product director
- Negotiate meeting space to room block ratios, F&B minimums, and company’s required contract clauses
- Review marketing materials
- Build out and communicate meeting specifications with hotel conference service manager
- Manage and evaluate weekly hotel registration/room block pick-up reports and take action as necessary
- Research and contract support resources including visitor bureaus, transportation agencies, and temporary staffing organizations as needed
- Strictly adhere to established budgeted financials
- Travel to national conferences to lead onsite management
- Provide post-event analysis on rooming patterns, catering consumption and meeting room utilization along with final invoice billing reconciliation and processing for payments
- Utilize standard templates, processes, and guidelines within deadlines to produce conference materials, including formatting presentation slides for overall event consistency
- Clearly and effectively communicate with speakers, exhibitors/sponsors, and internal team members regarding agreements, materials deadlines and setting expectations for day of live event
- Work with outside vendors in the production of events, ensuring a positive experience for our customers
- Resolve problems quickly and effectively during a live program
- Serve as point person for all sponsor/exhibitor communications for an event; ensure sponsor/exhibitor deliverables are met
- Reconcile and submit payments for speaker honorariums and travel expenses
Additional Responsibilities:
- Other related event responsibilities based on needs to support the workload within the department
The Individual:
- Certified Meeting Professionals credential a plus but not necessary
- Expertise in MS Office applications - Word, Excel, PPT, Outlook
- Strong organizational skills and ability to prioritize responsibilities
- Excellent verbal/written communication skills
- Ability to manage tasks under tight deadlines with exceptional attention to detail
- Capability to work independently as well as part of a team
Qualifications:
- Minimum of 5+ years’ experience in corporate meeting planning and onsite execution
