Overview of Position
The Fiscal Specialist - Middle School completes activities related to the maintaining, recording, updating and reconciling of fiscal accounts associated with maintaining of the stockroom for the school.
Essential Functions
- Collects financial information related to work assignments for the purpose of providing required documentation and/or processing information.
- Distributes books and supplies for the purpose of ensuring students and staff have necessary materials.
- Maintains financial information, files and records (e.g. ASB, District allocated funds, departmental budget, etc.) for the purpose of ensuring the availability of documentation and compliance with established policies and regulatory guidelines.
- Maintains school stockroom (e.g. orders materials, records receipts, inventories, etc.) for the purpose of ensuring supplies are available and accountable.
- Monitors budget expenditures and reconciles discrepancies for the purpose of advising appropriate staff and students of funds balance and accounts.
- Monitors student assistants for the purpose of ensuring processes are being met.
- Participates in a variety of functions, as assigned, (e.g. meetings, trainings, workshops, seminars, conferences, etc.) for the purpose of conveying and gathering information required to perform job functions.
- Prepares purchase orders, claim vouchers, ROPE claims and other reports for the purpose of providing monetary reconciliation and requested supporting documentation required for audit.
- Prepares written materials and electronic financial information for the purpose of documenting activities, providing reference, conveying information, and complying with established financial, legal and/or administrative requirements.
- Responds to inquiries of staff and administration regarding financial procedures for the purpose of providing information, direction and/or referral for addressing inquiry.

KNOWLEDGE, SKILLS AND ABILITIES:
Knowledge
- Required to perform basic math, including calculations using fractions, percents, and/or ratios; understand written procedures, write routine documents, and speak clearly; and understand complex, multi-step written and oral instructions.
- Specific knowledge required to satisfactorily perform the functions of the job includes: accounting and bookkeeping principles; and business telephone etiquette.
Skills
- Required to perform multiple, non-technical tasks with a potential need to upgrade skills in order to meet changing job conditions.
- Specific skills required to satisfactorily perform the functions of the job include: applying District, State and Federal policies and regulations; operating standard office equipment; performing standard bookkeeping and accounting procedures; preparing and maintaining accurate records; and utilizing pertinent software applications.

- Ability to operate adding machine or calculator, learn to operate computer.
RESPONSIBILITY:
Responsibilities include: working under direct supervision using standardized procedures; directing other persons within a small work unit; and tracking budget expenditures. Utilization of some resources from other work units may be required to perform the job's functions. There is a continual opportunity to have some impact on the Organization's services.
WORKING ENVIRONMENT:
The usual and customary methods of performing the job's functions require the following physical demands: occasional lifting up to 40 pounds, carrying, pushing, and/or pulling; and some fine finger dexterity. Generally the job requires 75% sitting, 10% walking, and 15% standing. This job is performed in a generally clean and healthy environment.

Typical Qualifications
EDUCATION:
High school diploma or GED equivalent and one (1) year of college or business school with course work in accounting/bookkeeping.
YEARS OF RELEVANT EXPERIENCE:
Two (2) years of clerical or secretarial work experience which included one (1) year of bookkeeping or accounting experience in a computerized environment.
SUBSTITUTION:
One additional year of qualifying work experience may substitute for the one year of college; one additional year of college or business school may substitute for one year of the required work experience.
REQUIRED TESTING:
Ability to type 40 wpm.
CERTIFICATES & LICENSES:
Valid State of Washington Driver's License
