The Guest Relations Coordinator is responsible for organizing front-line staffing throughout all museum galleries, ensuring Gallery Attendants and Museum Educators move seamlessly between floor positions, field trips, and other museum programming demands. The Guest Relations Coordinator works closely with the Education Manager and other Education staff to track department staffing needs, schedule as required, and ensure all floor demands are met.
Duties/Responsibilities:
Works on monthly schedule for 40+ floor staff, adjusting as needed for after-hours events, school programming, and off-site programs.
Tracks Department project needs on a weekly basis, allocating labor as needed/available.
Works on Daily Schedule, rotating staff between galleries and school tours
Works closely with Volunteer team to integrate volunteer docents into floor posts, private tours, school tours, and after-hours staffing.
Reviews timecards each pay period for 40+ floor staff, ensuring hours match schedules and tracking hours to be cross allocated to other departments.
Maintains log of Employee attendance, vacation requests, tardiness, etc.
Keeps track of floor staff training, including new exhibit trainings, skills trainings, and program-related training.
Logs floor incidents and IT issues in galleries and communicates with relevant departments for resolutions.
Inventories supplies for Education programming.
Onboards and trains new floor staff in overall duties with assistance of Education Assistant and Museum Educators.
Assists Education Manager in tracking employee goal progress and collects data to be used in performance evaluations.
Works with daily lead to monitor floor activity.
Staff floors as needed.
Assists with Education events and programming, as well as other departmental tasks, as needed.
Required Skills/Abilities:
Basic computer skills (word processing, Spreadsheets)
Scheduling abilities
Outgoing; good communication skills
Ability to work in a fast-paced environment
Education and Experience:
Minimum Education (or substitute experience) required:
Bachelors Degree in Education, History, Museum Studies, or related field
Minimum Experience required:
3 years working in a public facing position in a high traffic environment
