The Grant Compliance Specialist supports the Grant Compliance Manager in ensuring all grant and contract activities and reporting comply with the relevant laws, regulations, and guidelines set by the awarding agency. This role is essential in maintaining the integrity and efficiency of the grant and contract management process and provides support with grant/contract implementation and closeout, including but not limited to: the writing and submission of grant and contract applications, award data gathering, tracking, reporting, and compliance. 


Position Status: Full time/Non-exempt

This position reports to:Grant Compliance Manager 


Grants + Contracts Administration 

  • Maintain a calendar of deadlines to guide the scheduling of grant and contract requirements.
  • Assist with the timely submission of reports.
  • Assist with gathering documentation in collaboration with staff to meet grant and contract requirements.
  • Research and prepare written reports as needed for the team.
  • Prepare various periodic reports, graphs, and charts for the team.
  • Collaborate with staff to compile a variety of statistics and data related to monthly billing and financials to submit financial reporting as required.
  • Generate CRM reports relating to applicable grants and contracts.
  • Review CRM client billing activities on a weekly basis. 
  • Provide technical support to staff for CRM and County client database data entry.
  • Lead training of CRM and County databases for new hires.
  • Provide support to staff with client data quality and County database data transfer, reporting, and reconciliation.
  • Lead monthly client case file compliance reviews and provide support to staff with client case file training.
  • Assist in the submission of grant and contract applications.
  • Participate in developing processes and procedures for tracking and reporting grant and contract requirements.
  • Assist with developing protocols to track success measures and outcomes.
  • Support the team with implementing, maintaining, and updating necessary internal policies and protocols.

 

Grant + Contracts Compliance

  • Become knowledgeable of grant and contract guidelines and expectations and advise programs on implementation and ongoing efforts to ensure compliance.
  • Communicate regularly with the Grant Compliance Manager to report on compliance status and issues.
  • Conduct internal audits of programs to ensure compliance.
  • Support in identifying potential compliance risks and contribute to developing mitigation strategies.
  • Assist in maintaining compliance standards to meet City, County, State, and Federal guidelines.
  • Assist in assuring compliance and accounting requirements are met by implementing internal compliance audits.
  • Gather and organize documents for contract and grant audits.
  • Coordinate and clean data for research purposes in partnership with outside researchers.
  • Provide guidance on contract and Grant Compliance to office Operations staff.
  • Assist with the accreditation of our Foster Family Agency.
  • Assist with form updates and agency wide policy reviews.
  • Assist with organizational financial audits as required.
  • Attend internal and external meetings as assigned.
  • Additional duties to be assigned, as needed.


Required Skills:

  • Salesforce or other CRM/database administrative experience. 
  • Proficient in Microsoft Office Suite and Google Suite.
  • Skilled in Excel formulas, pivot tables, tables, etc. 
  • Ability to work on Mac computers, required.
  • Tech savvy/natural problem solver, eager to learn new technology and processes.
  • Comfortable working independently and contributing to a dynamic team.
  • Ability to analyze information, conduct research, solve problems, formulate logical conclusions to define the problem, and make recommendations for effective solutions.
  • The ability to manage multiple projects simultaneously.
  • Flexibility in meeting deadlines and adjusting to changing priorities.
  • Excellent writing, organizational, interpersonal, and communication skills.
  • Ability to work in a fast-paced and growing environment in a shared office space.
  • Professional in appearance, demeanor, and service.


Education, Training and Experience

  • Bachelor’s degree preferred or equivalent experience. 
  • Minimum of 1 year of experience with contract/Grant Compliance and/or contract/grant administration and project management.
  • Minimum 2 years of experience with Salesforce or other CRM/database, quality assurance, and data analysis.
  • Background in grant reporting and/or non-profit operations.

  • This position is required to be available to be in office 5 days per week with a possible hybrid remote arrangement decided with the supervisor upon hiring.

  • Paid Vacation: 10 days of paid vacation to be accrued at a rate of 3.34 hours per pay period.  Vacation time will accrue beginning on the first day of employment, for use after the first 90 days. Vacation benefits increase after one year of full time employment to 5 hours per pay period and 6.67 hours per pay period after two years of full time employment, until a maximum of 20 days of paid vacation is accrued annually. 


  • Paid Sick Leave: 6 days of Paid Sick Leave per calendar year


  • Holiday Pay: (10 days annually observed as follows) New Year’s Day, MLK Jr. Day, Memorial Day, Juneteenth, Independence Day, Labor Day, Thanksgiving Day, Day After Thanksgiving, Christmas Eve, Christmas Day


  • Health Insurance: Health insurance coverage meeting ACA requirements with 90% of your coverage paid for by Saving Innocence; this will be available on the first day of the month following 60 days of full-time employment. SI also offers employer sponsored voluntary dental & vision plans.


  • Retirement: Saving Innocence offers a 401(k) match of 100% of the employee’s 401(k) contributions up to 5% of their annual gross compensation.  This means that for every $1, Saving Innocence will match $1 to your account up to 5% of the eligible pay.  Vesting is immediate for employee deferrals.  Employer contributions are subject to a 5-year vesting schedule.  Employees are eligible to join the plan after 3 months of employment. 


  • Maternity/Paternity Leave Wage Replacement: up to 8 weeks, coordinating with EDD
