Job Status: Full Time / 35hrs per week

Job Location: Hybrid in Office/ and Work from Home

Salary Range: $65k - $75k


Founded in 1980, Neighborhood Self Help by Older Persons Project (SHOPP) is a non-profit social service agency located in the Bronx serving older adults and families caring for an ill, frail, or disabled loved one. SHOPP’s mission is based on the philosophy of self-help. We believe that older adults are capable of helping themselves and helping others improve their capacity to deal with the physical, emotional, social, and financial challenges they face as they age.


SHOPP has several service programs that includes Community Care Network Program (CCNP); VIP Elder Justice; NY Connects of the Bronx; Case Management & Friendly Visiting Program; Caregivers Program, Lafayette Estates NORC Program; Older Adult Centers: Casa Boricua, Leon, Soundview, and Guess.


The Grant Accountant is responsible for managing overall grants/contracts compliance and administration including performing the accounting and financial service functions for programs funded by
grants/contracts or special revenue. These functions include: preparing financial projections and budgets, actual versus budget reporting, reviewing/monitoring of individual grants/contracts and transactions for compliance with private, local, state and federal funding requirements, billing and collections, journal entries, and financial grant reporting including preparation of reports for granting authorities and/or funding sources. This position will also be required to prepare budget proposals for grant applications and provide fiscal services and support for assigned departments and answer inquiries from funder auditors as well as the agency's CPA auditors. In addition, this position will manage grant/contract information and effectively communicate complex financial issues to employees, administrators, auditors and granting agencies. The Grant Accountant position is an exempt position and reports to the Chief Financial Officer.


Grant Accountant Essential Duties and Responsibilities:


  • Plans, organizes, and coordinates the accounting and financial reporting for assigned grant/contract portfolio, including- preparing financial reports, forecasting revenue, expenses,
    estimating any carry-over of funds from one year to the next.
  • Ensures all fiscal compliance with funding sources are adhered to including timely submission of reports and grant/contract modifications.
  • Effectively communicates and collaborates with key personnel within the fiscal, program, administration and other applicable departments about assigned grants/contracts and fiscal
    protocols.
  • Performs analysis of trial balance and general ledger and exercise professional judgement regarding adjustments as needed.
  • Maintains Federal, State, City and private fiscal and administrative systems, portals and compliance materials for assigned grants/contracts.
  • Creates and/or updates fiscal policies and procedures relating to grant management as well as overall accounting and financial services functions.
  • Develops positive working relationships to foster a collaborative environment for grant/contract coordination and oversight and maintain excellent relationships with staff and funders.
  • Exercise professional judgement by working proactively with program staff to understand needs, challenges and solicit ideas for budget modifications and/or contract amendments.
  • Attends professional development training and stay abreast of the Office of Management and Budget (0MB) Circulars and their applicability to grant/contract management related audit,
    federal regulations, state laws and any workshops or seminars on grants/contracts by funding sources (e.g. Department for The Aging, Department of Youth and Community Development, etc.
  • Maintains all assigned grant/contract records and ensures that they are audit ready.
  • Prepares all applicable journal entries relating to assigned grants/contracts.
  • Responds to funders' requests in a timely manner.
  • Train and utilize appropriate staff on fiscal protocols and/or grants management, when needed.
  • Assist with yearly agency-wide audit by preparing contract/grant analysis showing advance payments, revenue and expenditures for each contract/grant and gather backup documentation
    as well as assist auditors.
  • Assist in preparing and maintaining monthly allocations and allocate all shared expense in the accounting system (Fund EZ).
  • Keep general ledger up-to-date and audit ready for assigned grants/contracts.
  • Provide support when needed in the following areas:
  • Receive and process check requests.
  • Ensure that check requests have proper authorization, are coded and are paid on a timely basis.
  • Post payments for grant and non-grant related income.
  • Bank reconciliations
  • Update cash report when requested.
  • Other duties as assigned.


Education/Experience Requirements:

Bachelor's degree in accounting or related field with minimum of 4 years' experience in managing contracts and grants or a minimum of 8 years' experience in a not-for-profit organization managing contracts and grants. Thorough experience with State, City, Foundation grants and contracts administration as well as compliance issues. Knowledge of budget development and modification process
Intermediate to advanced knowledge of Microsoft excel Ability to prioritize and self-direct, analyze situations, identify situations where appropriate to make decisions as well as work independently and effectively across departments. Excellent written and oral communication skills. Strong time management, organizational and follow-through skills with strong attention to detail.
Proficient with MS Office tools and accounting software program (Fund EZ) . Ability to analyze financial data and make recommendations.
