Your Role
The Global Program Manager is responsible for the strategic oversight of facilities-related processes and technology. This role provides leadership to the facilities team members and partners to ensure an innovative experience for the foundation. They will be responsible for managing our Real Estate transaction portfolio, developing and executing processes and metrics that allow for continuous improvement of our operations, supporting our long-range capital and operations planning processes, and own the Global Facilities financial planning and budget management. Under the general direction of a Deputy Director, this position will build strong, mutually respectful partnerships with partners, lead expectations, and ensure the appropriate level of communication for the audience. This role will use well-developed judgment to understand the business environment and needs and share foundation-wide perspectives with the team.
What You'll Do
This role will provide leadership and oversight of facilities-related processes, budgets, and metrics. The role will be an integral part of the facilities team to ensure alignment with business operations processes and play a role in annual planning, long-range planning, and day-to-day operations in partnership with our strategic vendors. In addition, they will support our global Real Estate portfolio throughout the markets we serve in Africa, Europe, Asia, and the continental US. Must maintain a high and very detailed level of customer service.
Core Responsibilities
Financial Responsibilities
  • Development, analysis, and accurate reporting, management, and forecasting of capital and operational budgets in coordination with project managers and operations managers. Demonstrate the ability to interpret and explain results and variances.
  • Own the annual planning budgeting process for securing resources for global Facilities construction projects and operating expense budgets, including out-of-cycle budget requests for incremental increases and emergent project needs.
  • Use data to perform financial due diligence.
  • Advocate for operational and budgetary efficiencies, implementing process improvements as identified.
  • May have limited financial responsibility as directed by the DOA.

Real Estate Portfolio Manager Responsibilities
  • Represent the Foundation on Real Estate and lease management activities, including site search and selection, site feasibility assessments, lease negotiations, and lease renewals.
  • Be responsible for the outsourced Lease Administration team, responsible for landlord engagement, lease abstraction, data management, invoice review, and invoice submittal.
  • Lead coworking relationships in alignment with programmatic objectives.
  • Project Manager for small office buildouts and setup, primarily in international coworking locations.

Program & Project Manager Responsibilities
  • Lead the Life Cycle Asset Plan (LCAP) data management for foundation-owned and leased assets to ensure our assets are maintained and preserved, working across operational partners to update the asset database and produce a recommended 10-year investment plan for resource allocation.
  • Liaison between facilities and our contracts team, helping drive efficiencies and prioritization of in-progress work between teams.
  • Supports the planning, continuous improvement, and execution of our global facilities operating model to ensure a consistent focus on operational excellence while recognizing local context within our offices.
  • Develop, enhance, and lead tools for facilities processes, including project and space planning, ensuring continuous review for improvements to drive efficiency and user experience.
  • Spearhead the strategic management of facilities, collaborating with internal groups and external vendors to implement globally applicable technology solutions, conducting ongoing evaluations of emerging tools, and establishing robust reporting metrics for performance analysis and optimization.
  • Lead cross-functional project management, being responsible for strategically significant initiatives, collaborating with operational teams, and ensuring alignment across functions for flawless project delivery.
  • Provide project leadership, leading diverse teams and external stakeholders to ensure projects meet scope, business value, budget, and schedule goals, while collaborating across operations to optimize processes and services.
  • Supports the creation and maintenance of systems to measure, run, and improve vendor performance while stewarding foundation resources.
  • Provides project leadership, leading project and vendor/consultant team members and partnering with cross-functional teams and external partners to ensure projects deliver the expected scope and business value, completed on budget and schedule, and delivered with quality aligned to business outcomes.
  • Support organizational change globally as it pertains to changing operational models.
  • Support communication plan as it pertains to project and operational outcomes.
  • Create specific and measurable outcomes (metrics) as success indicators to track internal progress of the global facilities team.

Your Experience, knowledge, and skills
  • 7+ years of experience
  • Advanced degree preferred in business management, construction management, facilities management, or related field
  • Experience in Real Estate brokerage, negotiations, and/or lease administration
  • Strong contractual negotiation and vendor leadership skills.
  • Cultivates beneficial and long-term relationships with clients and with vendors.
  • Very detail oriented.
  • Team Player and ability to lead a project team.
  • Strategic planning, resource allocation and coordination of people and resources on time-sensitive, faced-paced and high volume of projects and initiatives.
  • Strong international experience and knowledge of working in varying cultures
  • Experienced knowledge of facilities operations and industry trends and standards
  • Team management and team leader

The salary range for this role is $125,000 to $187,500 USD. We recognize high-wage market differences where our offices are located, in Seattle, Washington D.C., and Boston (Cambridge). The range for this role in these locations is $136,100 to $204,300 USD. As a mission-driven organization, we strive to balance competitive pay with our mission and new hires are typically brought into the organization at a salary between the range minimum and the salary range midpoint. Actual placement in the range will depend on a candidate's job-related skills, experience, and expertise, as evaluated during the interview process.
