General Information:
James Madison University’s Facilities Management Department is accepting applications for a Garage Administrative Assistant. The shift is Monday thru Friday, 6:30 a.m. – 3:00 p.m., with an altered schedule during the summer.
James Madison University’s Facilities Management Department is accepting applications for a Housekeeping Equipment Repair Technician. The shift is Monday thru Friday, 7:00 a.m. – 3:30 p.m., with an altered schedule during the summer plus overtime or weekend hours when necessary.

Duties and Responsibilities:
- Provide support for the smooth operation of the garage by ensuring that administrative tasks are handled effectively, customer service needs are met, scheduling is organized and documentation is accurate and up to date.
- Sending and receiving emails for vehicle monthly preventive maintenance.
- Keeping the customer and the supervisor updated with the progress of the PM and cleaning of the vehicle. Notifies the customer when the vehicle is ready for pick up.
- Scanning documents and transferring notes from technicians into software, including data entry tasks.
- Pick up and delivery of customer vehicles.
- Liaising with vendors and storeroom personnel to ensure timely availability of parts.
- Answering incoming phone calls and addressing customer inquiries or concerns.
- Ensure all relevant information, such as warranty start and end dates, coverage details, and terms, is accurately recorded.
- Maintain a log or spreadsheet to track recalls, including affected vehicles, dates, and actions taken.
- The employee in this position will be considered designated, meaning the work performed is essential to university operations and the employee will be required to work during periods of authorized closings
Qualifications:
- Knowledge of automotive equipment service, repair and mechanic shop operations.
- Knowledge of data entry and computer software programs such as Excel.
- Customer service skills.
- Ability to work well with others in a fast paced environment.
- Excellent time management skills.
- Applicants must be at least 19 years old and possess a valid driver’s license for a minimum of 24 consecutive months and an acceptable Motor Vehicle Report.
