The primary purpose of the Receptionist position is to perform clerical support in an efficient manner in accordance with established procedures, and as directed by the Director of Plant Operations.
This is a full-time, benefits eligible position, working 8:30am - 4:30pm Monday - Friday (includes a 30 minute paid lunch); 80hrs bi-weekly.
Administrative Functions
· Responsible to be knowledgeable of and to implement the mission and philosophy of the organization within the scope of responsibilities.
· Maintain files for the front office.
· Type letters, reports, etc. for the Supervisors/Managers within St. Edmond’s Home for Children (SEHC).
· Maintains all office equipment.
· Handles incoming calls and/or messages.
· Assists in maintaining all office supplies and ensures office supplies are replenished.
· Distributes all incoming correspondence.
· Handles all outgoing mail, i.e. United States Postal Service, FedEx, etc.
· Assures that work/assignment areas are neat and clean before leaving such areas on breaks, end of workday, etc.
· Performs other duties as assigned.
Qualifications
· 1-2 years’ relevant experience.
· Demonstrates flexibility in meeting staffing needs and emergencies.
· Must be able to maintain confidentiality of resident and employee information as needed.
· Must be able to follow written and oral instructions.
· Must be able to read, write, speak, and understand the English language.
· Must possess the ability to make independent decisions when circumstances warrant such action.
· Must possess the ability to deal tactfully with personnel, residents, visitors, and the general public.
· Must be calm and levelheaded in emergencies.
· Must possess the ability to work harmoniously with other personnel.
· Must be knowledgeable in the use of computers, data input and output, etc.
· Must be able to operate office and business machines.
· Must have patience, tact, cheerful disposition, and enthusiasm as well as be willing to handle residents, staff and visitors, based on whatever maturity level at which they are currently functioning.
Physical & Sensory Requirements (with or without the use of mechanical devices)
· Must be able to sit, stand, bend, reach, move, etc. intermittently throughout the workday.
· Must possess sight, hearing senses or use prosthetics that will enable these senses to function adequately so that the requirements of the position can be fully met.
· May be required to lift up to 20 pounds, push, pull and move residents, equipment, supplies, etc., up to 200 pounds with assistance.
· Must be able to assist in the evacuation of residents.
Education
· High School Diploma or GED required
