QUALIFICATIONS:
• A fully qualified typist with a minimum of 50 WPM is required.
• General medical ethics, telephone etiquette, and excellent communication and
customer service skills.
• General office administrative and clerical skills to perform receptionist duties and
answer telephones.
• Ability to communicate effectively, both orally and in writing.
• Education. High school diploma or General Educational Development (GED)
equivalency. Medical terminology desired.
• Experience. At least 6 months of experience in office setting.
• Work Environment/Physical Requirements. The work is primarily sedentary.
However, there may be some physical demands. Requirements include prolonged
walking, standing, sitting or bending.
SECURITY/ IMMUNIZATION REQUIRMENTS:
• HCWs shall be a U.S. Citizen
• Physical not to exceed 45 days of application.
• Tdap within the last 10 years
• 3 dose hepatitis B and/or positive titer
• 2 dose mmr or positive titer
• 2 dose varicella or positive titer
• Current flu shot
• 2 step TB
JOB DUTIES INCLUDE, BUT ARE NOT LIMITIED TO:
• MSS personnel shall screen, record and redirect approximately 1,600 telephone calls
each month for the MTF. Messages shall be taken and information relayed to
appropriate staff members within 30 minutes.
• MSS personnel shall schedule approximately 800 patient appointments each month.
• MSS personnel shall arrange transportation/escort for patients requiring assistance
approximately 100 times each month.
• MSS personnel shall respond to patient requests for non-nursing service
approximately 200 times each month.
• MSS personnel shall use ADS and the encounter forms it generates to document
patient care provided during each patient visit to include gathering demographics
information (name, address, home/work telephone numbers, sponsor SSN, patient
SSN and date of birth), gathering insurance information and morbidity data for
approximately 2,000 beneficiaries each month. The contractor shall document time in,
time seen and time of release at the bottom of each encounter form.
• MSS personnel shall perform End of Day processing at the end of every clinic day.
• MSS personnel shall match encounter forms with the appropriate patient record for
all appointed patients other than same-day appointments or walk-ins. The encounter
forms will automatically print out each morning. For same day appointments
(including walk-ins and emergency room visits), the contractor shall print out the
encounter form at check-in.
• MSS personnel shall verify the blocks at the top of the encounter form are properly
aligned each day and that each form is completed properly at the completion of every
outpatient visit. Forms shall be reviewed for accuracy, scanned, and corrected daily.
• MSS personnel shall ensure patient forms are complete before sending to the Medical
Officer and/or clinical specialist for review, and prior to transporting to the Medical
Records Department for filing upon the completion of each outpatient visit. Records
are transported approximately twice each day.
• MSS personnel shall respond to questions regarding any modification to the encounter
form through the government ADS coordinator.
• MSS personnel shall perform administrative support services for Newborn Care
rotated by all three teams one Saturday and Sunday per month with 1 FTE each day.
