As an Operations Associate you will provide support with all office administration for the New York City office. You will also provide corporate travel support for US employees. Your professionalism is vital to make our customers, vendors, employees and guests feel like their needs, concerns and questions are taken care of.
Salary range: $65K - $70K USD
What you'll be doing
- Maintain a good relationship with Property Management to ensure all facilities issues are addressed in a timely manner
- Greet visitors in front reception and show them to their meetings/hot desks as needed
- Answer phones and communicate messages to the proper employee/department
- Maintain kitchen, supply closet, copy area, and safety equipment including sourcing and purchase of supplies
- Maintain office safety procedures
- Handle the setup and deactivation of building access cards, keys and passes for employees
- Maintain security back-up for card reader and coordinate with property management for building access and new or replacement cards
- Assist in the coordination and scheduling of conference rooms and lunches for the management team
- Manage all inbound/outbound mail for New York City office via UPS and USPS
- Log office IT issues with our Help Desk and assist with executing solution steps
- Notify New York office employees of alerts from Property Management
- Admin support with US corporate travel management; supporting US employees with travel issues, negotiating corporate rates for Computacenter and reporting.

What you have
- 2+ years of experience in a corporate office - technology industry preferred.
- 2+ years of office management experience.
- Legally eligible to work in the United States.
- Familiar with corporate travel tools,
- Exceptional customer service skills; able to support both internal and external customers.
- High attention to detail - ability to spot errors and inconsistencies.
- Adept at handling interruptions and multi-tasking during high-volume periods.
- Excellent computer skills, including Microsoft Office (Word, PowerPoint, and Excel), CRM systems and ERP systems.
- SAP
- Must exercise the utmost discretion due to the confidential nature of many visitors or tasks assigned.
- Outgoing personality with top-notch organizational, time-management and follow-up skills.
- Must be dependable, punctual and able to work with minimal supervision.
- Must be comfortable performing required tasks as assigned.
- Ability to take direction from multiple people.
- Ability to work effectively and cooperatively on a team.
- Possess the ability to interface with different personalities and individuals with their inquiries.
- Must have excellent written and verbal communication skills as you will be interacting with high-level vendor and customer contacts on a regular basis.
- Experience with Neo (travel tool) a plus
