JOB SUMMARY: Reporting to the Director of Nursing, the Office Manager is responsible for the daily operations and supervision of the Front Office personnel and provides assistance to the center administrator.
DUTIES AND RESPONSIBILITIES: • Communicates with the Administrator regarding all significant issues of the center • Assumes responsibilities as deemed appropriate during the absence of the Administrator
• Works flexible hours in assuming responsibility and accountability based on the center’s needs
• Monitors the Front Office staff • Ensures the efficiency of the patient flow process
• Assists with the assigning of Front Office duties based upon education, training, competencies, and job descriptions
• Guides and directs the Front Office staff relative to the patient flow process
• Promotes an environment of cooperation and collaborative action among co-workers
• Coordinates, integrates, and communicates with clinical areas to ensure a continuous patient flow process
• Participates in maintaining a safe environment for staff and patients
• Participates in staff orientation and staff education activities
• Participates in planning and budgeting for supply management Quigley Eye Specialists
• Participates in adhering to current standards and regulations while updating and revising as applicable
• Demonstrates analytical abilities necessary to identify a problem and to develop a sound plan of action for resolution.

• Wears appropriate attire according to facility policy
• Follows universal precautions (i.e. handwashing)
• Practices recognized principles of cleanliness and sanitation
• Ensures completeness and organization of monthly Infection Control Reports for each surgeon
Emergency Situations
• Demonstrates knowledge of fire safety and fire safety equipment
• Responds to emergency procedures according to policy and procedure
• Ensures completeness and submits Comprehensive Emergency Management Plan annually as required by law
• Designated as an After-Hours Emergency Contact
Equipment and Supplies
• Anticipates the need for equipment and supplies
• Assures all equipment is functioning before use
• Observes equipment needs and functionality issues and addresses in a timely manner
• Operates equipment according to manufacturer’s instructions
• Replaces used supplies in a timely manner and maintains inventory (i.e. ordering)
• Uses supplies judiciously and in a cost-effective manner
• Communicates/documents provision of equipment and supplies
• Ensures adequate linen inventory for patients, staff and physicians (i.e. bed linens, scrubs)
• Prepares labels accordingly (i.e. patient name labels, medication administration)
Environment of Care
• Regulates temperature and humidity as indicated
• Adheres to electrical safety policies and procedures
• Monitors exit, emergency and ceiling lights throughout building and replace bulbs as necessary; ensures appropriate record keeping of such
• Ensures required generator checks and documentation accordingly
• Inspects fire extinguishers on a monthly basis, documents, and ensures maintenance when required
• Ensures compliance with “red line” in sprinkler areas throughout the building
• Oversight of center’s contracted cleaning company and relative responsibilities
• Schedule building maintenance as indicated
• Scheduling of preventative maintenance to include HVAC, Fire Sprinklers, Generator, Biomedical, and medical equipment (i.e. YAG laser
Business Office
• Oversees surgery schedule including daily/monthly/yearly updates, conflicts, template accuracy, and communication with physician’s offices; ensure adequate supply of patient information packets as needed
• Transcribe dictated operative reports as necessary; ensure completeness
• Maintain attendance records
• Responsible for all aspects of accounts payable
• Maintain Contract Service Agreements with vendors appropriately
• Medical Records custodian (i.e. Patient record requests, oversee off-site storage)
• Computer contact liaison for IT support
• Knowledgeable of current billing practices and assist with coding as necessary
• QAPI activities (QA chart audits, MD peer review, Infection Control Reports) • Compliance with regulated reporting as required (Quality/Quantity, AHCA)
