FRONT DESK RECEPTIONIST/ SECURITY
JOB DESCRIPTION
Reports to the Administrator
Qualifications:
- High school diploma or general education degree (GED); or one to three months related experience and/or training; or equivalent combination of education and experience.
- One year of related work experience as a Front Desk coordinator, receptionist or switchboard operator, including some clerical duties
- Effective oral and written communication skills
- Computer literate with data entry skills
- Ability to handle several tasks simultaneously, such as answering switchboard calls and assisting residents and visitors
- Ability to maintain productivity in a stressful environment
- Must be able to read, write and speak the English language
- The ability to deal effectively and professionally with clients, residents, family members and/or visitors
- MUST BE VACCINATED FOR COVID 19
Responsibilities:
- Manages the facility lobby area
- When on duty, ensures the reception area is staffed 100% of the time
- Welcomes new admissions, notifies appropriate departments as needed
- Greets and directs all residents, visitors, vendors and job candidates
- Ensures completion of paperwork, sign-in and security procedures
- Remains at reception area in the event of a fire or emergency event
- Handles special administrative projects
- Handles all incoming calls; places, receives and routes high volume calls
- Supplies general information to callers with speed and professionalism, relays messages
- Announces visitors
- Handles resident intercom system calls and call bell alerts
- Performs general administrative duties as assigned
- Sorts and distributes incoming and outgoing mail

- Night shift assignment includes additional duties to Make regular walking rounds throughout living areas to monitor residents’ status and offer assistance when requested or needed o Monitor safety of the residents and building, check status of all alarms, locked doors, heating, air conditioning and ventilation throughout the building o Notify Administrator/designee in case of emergency and initiate implementation of that person’s instructions. In case of fire, initiate the fire plan immediately and move endangered residents to a safe location
- Participates in Emergency Preparedness procedures
- Maintains a thorough working knowledge of and adheres to facility policies, regulations and procedures
- Keeps immediate supervisor well-informed of activities, results of efforts and problems identified/potential problems; recommends corrective actions to immediate supervisor
- Maintains confidentiality in discussing resident, staff, volunteers and organizational matters
