Job Summary
theCoderSchool is looking for a responsible Coding Coordinator to perform a variety of administrative and clerical tasks. Duties include providing support to our managers and employees, assisting in daily office needs and managing our company’s general administrative activities. Administrative Assistant responsibilities include making scheduling of students and meeting arrangements, preparing reports and maintaining appropriate filing systems. The ideal candidate should have excellent oral and written communication skills and be able to organize their work using tools, like MS Excel and office equipment. If you have previous experience as a Secretary or Executive administrative assistant and familiarity within our industry, we’d like to meet you. Ultimately, a successful candidate should ensure the efficient and smooth day-to-day operation of our office. This is a part-time position on select days of the week from 10am-8pm and Saturdays from 9am-3pm. Remote hours/additional hours may be needed. This candidate must be able to work in person at the center on selected days. Saturdays are a MUST for in person and/or remote work. This role may turn into full time position for the right candidate.
Responsibilities
- Answer and direct phone calls
- Organize and schedule appointments
- Plan meetings and take detailed minutes
- Write and distribute email, correspondence memos, letters, faxes and forms
- Assist in the preparation of regularly scheduled reports
- Develop and maintain a filing system
- Update and maintain office policies and procedures
- Order office supplies and research new deals and suppliers
- Maintain contact lists
- Provide general support to visitors
- Act as the point of contact for internal and external client
- Greet students by name, chat with them, and generally make them feel welcome and inspired
- Greet prospective students and parents, explain our programs, show them the facility
- Help create a cool vibe at the school by managing rockin' playlists, coming up with decorative ideas, anything to keep a cool tech-startup vibe in the school
- Enter customer data and perform various administrative tasks as trained by the General Manager
- Learn and understand theCoderSchool's backend software, including billing and customer management systems
- Manage the school's calendar, contact parents over phone for missed lessons, rescheduling, and other operational tasks
- Be open and willing to learn about the wide world of technology, and gain a basic understanding to have educated conversations (with the kids!)
- Manage cleanliness of the center - including and not limited to wiping down desks, furniture, computers/keyboards, sweeping, mopping, bathroom, and breakroom
- Attend various marketing, school, community events as needed
- Manage social media accounts
Requirements/Skills
- Knowledge of office management systems and procedures
- experience as an administrative assistant or office admin assistant
- Working knowledge of office equipment, like printers and fax machines
- Proficiency in MS Office (MS Excel and MS PowerPoint, in particular)
- Exp with Adobe Creative Cloud Apps a plus (Photoshop, Illustrator, etc)
- Excellent time management skills and the ability to prioritize work
- Attention to detail and problem solving skills
- Excellent written and verbal communication skills
- Strong organizational skills with the ability to multi-task
- High School degree; additional qualification as an Administrative assistant or Secretary will be a plus
- Good Communicator. There will be plenty of chatting with parents, and of course patience is a virtue when it comes to kids! Phone skills a MUST! Be able to help promote and bring in business.
- Genuine. Showing genuine interest in students and their growth means a lot. The best coordinators always know which students in our coder community are having a great experience and which may need to switch coaches; this is a key function for the role.
- Desire and Ability to Learn Quickly. You don't need to be a tech wiz for this position, but we want you to learn high level technical concepts so you can speak intelligently to parents (and students!), and perhaps be inspired to code yourself!
- Self Driven and Self Motivated - completing tasks without being asked and always looking for ways to improve operations
- Able to work independently
- Knowledge of technology/programming/IT/CS is a PLUS!
Job Type: Part-time
Pay: $18.00 - $20.00 per hour
Expected hours: 10 – 20 per week
