Responsibilities:
- Greet and welcome patients in a professional and friendly manner
- Answer phone calls and schedule patients
- Return voicemail, email and text messages from patients
- Manage and maintain the reception area, ensuring it is clean and organized
- Schedule appointments and maintain calendars for multiple staff members
- Perform End of Day Close and reconcile charges, discounts and payments
- Assist with patient communications (birthday cards, promotions, etc)
- Handle incoming and outgoing mail and packages: including sorting, distributing, and preparing packages for shipment
- Provide administrative support to clinical and management teams as needed
- Utilize computerized systems such as EMA for scheduling and QuickBooks for payments
- Attend staff meetings
Requirements:
- Previous experience as a receptionist or in an administrative role in hospitality or medical concierge company - exceptional customer service skills required
- Proficient in using phone systems and other office equipment
- Strong computer, math, communication, and customer service skills
- Excellent organizational skills with the ability to multitask and prioritize tasks effectively
- Attention to detail and accuracy in all work performed
- Strong communication skills, both verbal and written
- Ability to work independently as well as part of a team
NOTE: Experience as a Cosmetic, Spa, Plastic, or Dermatology receptionist is a plus
