Job Description
- Welcome patients and visitors into the office promptly upon their arrival. Screen guests for why they are here and handle the situation accordingly.
- Answer telephones by the third ring, screen callers and relay messages to the appropriate party in a timely manner.
- Assist patients in completing all necessary forms. Enter or update the appropriate demographic, insurance and pharmacy information. Verify insurance eligibility. Retrieve and scan all necessary documents to ensure the patient’s chart is complete. Ensure that patient’s here for special cases (Workers Comp, No Fault, DOT physicals, etc.) fill out the proper paperwork in its’ entirety. Make sure patients are aware of any instructions they need for when they leave the office.
- Communicate office policies and procedures to patients as necessary.
- Ensure the patient is aware of any fees or of any services that will not be covered before scheduling the patient.
- Maintain a clean, well-stocked waiting room, bathroom and reception area before business hours begin, throughout the day and after closing. Prepare these areas for opening and closing before and after business hours. Maintain a clean, tidy reception desk ensuring all patient information is secure.
- Discharge patients by giving them discharge instructions, collecting the appropriate payment, issuing a receipt and, if applicable, instructing the patient which pharmacy their prescriptions were sent to. Scan all paperwork completed in our office to the proper place in the patient’s chart before the paperwork is released to the patient. Assist physicians in helping to schedule appointments for patients to obtain radiologic imaging procedures or to follow up with specialists.
- Accurately record all monetary collections and reconcile the drawer at the beginning and end of the shift.
- Ensure an adequate supply of forms to the right side of the reception area. Check demographics of old registration forms when business is slow. Ask management for other tasks/projects when business is slow.
- Any other duties as deemed necessary by the doctors and/or office management to ensure high quality patient care in a clean, safe office environment.
