Job Overview:
We are seeking a dedicated Front Office Manager with exceptional customer service skills to join our team. You will play a crucial role in patient services, task management and inspiring front office staff. This position is patient-facing, so an outgoing and friendly professional person is a must. Your expertise, attention to detail, and commitment to exceptional service will contribute to our goal of creating a nurturing and inviting environment for our patients.
Job Duties:
- Phones, texts, emails
- Patient scheduling, paperwork, check-in, check-out, and patient path awareness
- Provider 5-star customer service
- Opening/Closing duties
- Oversee and manage all Front office administrative functions
- Inventory ordering and management
- Office systems management
- Manage financial transactions and generate reports
- Develop and implement training programs for new employees
- Communicate effectively with staff, clients, and vendors
- Guide admin staff in replies to patients
- Newsletters & quarterly email
- Special projects as needed
Qualifications:
- Medical / Plastic Surgery / MedSpa OR 5+ years of Management experience required.
- Proven experience in concierge patient care or a similar role
- Ability to inspire and be part of a team
- Strong organizational skills with the ability to multitask and prioritize tasks effectively
- Superior interpersonal and communication skills, both verbal and written
- Attention to detail and accuracy in all work performed
- Outstanding listening skills and ability to empathize with others
- Proficient in using various office software applications (Microsoft Office Suite)
- Familiarity with Intake Q software is preferred
- Appropriate discretion in dealing with varied and difficult situations
- Experience with schedule management and coordinating appointments
- Knowledge of phone systems and ability to handle incoming calls professionally
- Lifting, pushing, pulling, typing, sitting, standing
