Job Title:Front Desk Associate
Reports To: Office Manager
Position Overview: The Front Desk Associate is the first point of contact for staff, clients, and guests visiting the headquarters in Washington, DC. The receptionist assists with various administrative activities and tasks, including greeting and checking in guests and clients, providing resources to incoming callers, and assisting with projects.
Position responsibilities and duties:
- Operate a multi-line telephone system (switchboard) and route calls to appropriate parties within the organization. Maintains an up-to-date telephone directory.
- Professionally greet visitors and staff, answering any questions and providing directions as needed. Alerts staff of visitors. Liaises with building security to approve visitor entry.
- Ensure the reception area is tidy and presentable and the necessary materials are available.
- Act as administrative backup to office services.
- Assists in managing reservations of conference rooms.
- Special projects and additional duties as requested.
Qualifications:
- High school diploma or equivalent required
- Previous administrative experience (at least one year)
- Exceptional written and verbal communication skills.
- Technologically literate
- Proficiency in Microsoft Suite tools, with a focus on Outlook, Excel, Word, and PowerPoint.
- Availability to work five days in person at PVA’s office.
- Self-starter with strong administrative and organizational skills.
- Able to maintain a friendly decorum.
