OATS Transit is hiring for a Fleet Coordinator works at OATS Transit Home Office in Columbia MO, Monday thru Friday, 40 hours per week. Responsibilities include handling paperwork for a fleet of 700+ vehicles, including delivery of new vehicles, maintenance records of existing fleet, and coordinates annual inspection/registration paperwork. While this does not require someone with a mechanics background, a good understanding of vehicle maintenance and operations is essential. The right candidate needs to be a team player who can exercise sound judgement, and take initiative under tight deadlines, plus able to work with staff at multiple locations throughout the state.
Duties include:
Maintain records on a fleet of 700+ vehicles, including their location and condition.
Coordinate receipt of all new vehicles arriving at home office. Assign fleet number and add to fleet plan. Equip new vehicles with safety equipment, gas cards, supplies and paperwork, and coordinate regional pick-up.
Work with auto auction to sell old vehicles.
Work with accounting staff to ensure proper procedures for removing fleet from service, grant paperwork, etc.
Maintain inventory of equipment and decals for all new vehicles.
Provide oversite and training to region staff in fleet maintenance software (FASTER) program.
Keep staff informed on any problem areas.
Process recall notices and notify corresponding region offices to ensure work is completed.
Maintain and review preventive maintenance database to ensure timely completion on a work orders.
Review history folders to identify vehicles with malfunctions needing attention.
File all new vehicle paperwork, including title/registration, with MO Department of Motor Vehicles on a routine basis. Coordinate annual vehicle inspection and licensing of all fleet.
Review driver logs to ensure compliance of federal regulations to avoid hours of service violations.
Work with MoDOT, insurance company, Home Office staff, regional staff, vendors and others on a routine basis.
Assist with answering phones and monitoring front door at home office as needed.
Qualifications:
Bachelors degree and/or five years related work experience with fleet management.
Project management experience helpful.
Experience and working knowledge with Ecolane preferred.
Excellent verbal and written communication skills are a must.
Must be highly organized.
Good computer and data management skills are necessary.
Excellent administrative and organizational skills.
Self-starter, flexible, and has a positive attitude.
Able to communicate and connect well with all levels and types of staff.
