FITNESS MANAGER
The Fitness Manager is responsible for the cross-market coordination and management of fitness programming at Seattle Bouldering Project gyms. The Manager will set up and maintain efficient systems for hiring instructors, communicate SBP expectations for safety, quality, and experience, and coordinate with departmental managers to ensure the fitness space is cleaned and maintained. The Fitness Manager will work closely with each General Manager and the Director of Experience to deliver accessible, fun, and innovative fitness offerings at the Bouldering Project in Seattle, WA.
GENERAL RESPONSIBILITIES FITNESS PROGRAM OVERSIGHT / PROGRAM DEVELOPMENT AND DIRECTION
Maintain accessible and quality fitness programming, with input and guidance from the Director of Experience, and with collaboration with the Yoga Manager
Distribute BP fitness point of view / expectations for alignment across gyms and instructors
Maintain compliance with employer/instructor relationship terms, with guidance from BP HR
Balance attending classes with feedback from staff / guests / instructors to maintain the pulse of the fitness program (recommended that the Fitness Manager audits each instructor once per quarter, with a more frequent cadence for new instructors (to be determined with GM))
Develop an efficient and functional system for sourcing and scheduling subs for classes, and review, communicate, and enforce instructor subbing policy
Develop and maintain tracking systems for class participants, consolidated and accessible by GMs
Offer special classes or workshops (recommended: monthly between gyms)
SCHEDULE CREATION AND MAINTENANCE
Craft a class and workshop schedule that meets the needs of our community within a provided labor budget in coordination with the Director of Experience and SBP GMs. Strive for a balance of class types offered at varying times of the day
Keep the instructor schedule up to date in the online scheduling system
Update class offerings seasonally to align with changing needs and traffic
Maintain the internal calendar of classes and events in Approach
Consider member feedback when adjusting schedule and content
INSTRUCTOR HIRING AND COORDINATION
Interview and evaluate potential instructors, and manage process of instructors
Communicate BP fitness quality standards and expectations with instructors
Communicate programming, gym updates, and additional relevant information with instructors regularly
Establish and communicate expectations regarding attendance and timeliness with instructors, including an appropriate subbing policy. Document instances of policy infraction when expectations are not met
Maintain an adequate sub list and process to backfill necessary classes
FACILITY SET UP AND MAINTENANCE
Ensure the studio(s) and equipment remain clean and functional
Document instructions and expectations for studio / fitness area cleaning, and coordinate with appropriate managers and staff to create a cleaning schedule
Coordinate necessary repairs
Submit equipment orders as needed and within the budgeted resources
ADMINISTRATIVE DUTIES
Manage payroll and invoicing processes
Ensure instructors maintain insurance and credentials
Work closely with GM to track labor and equipment budget to actuals performance
Review and respond to member feedback requests, and inform the GM of feedback trends
GYM COLLABORATION
Keep department managers and associated staff informed and up to date with programming/ facility needs
Maintain a high level of customer care
Collaborate with GM and Marketing Team to market classes, workshops, and developing social media content as necessary
Support incident reporting and reviews, safety reviews, emergency scenarios, and policy writing
Address customer complaints, injuries in gym, and incidents in facility
Ensure classes/programs have enough emergency support through systems and notification sequences
Act as a leader in the space and support leadership team as needed, in collaboration with the GM
Attend regular 1 on 1s, manager meetings, and staff meetings
Leverage subcontracted instructor pool to teach
Work with the GM to determine appropriate labor mix to maintain studio/facility cleanliness
Work with the GM to set up appropriate communication structure (e.g. Slack) to communicate with staff
EXPECTATIONS It is imperative to maintain excitement about the culture and community of fitness at Bouldering Project. BP is a community-oriented company and strives to lead by example by making our offerings accessible to all. WORKING CONDITIONS Many duties require the availability to work a flexible schedule based on business needs and events, including possible evenings and weekends. Duties often occur before and after regular business hours.
