POSITION SUMMARY:
The Administrative Office of the Courts (AOC) is seeking a Financial Specialist I to join our Finance team. This position performs a variety of complex financial and accounting responsibilities essential to the day-to-day operations of the AOC, routine monitoring for compliance with established policies and procedures, provide accounting, and at times, administrative support to Financial Office managers, and technical assistance to internal and external customers, stakeholders, including auditors.
Essential functions include:
- Prepare, review, verify, and process accounting transactions utilizing the internal accounting system (New World) and the statewide accounting system (AFIS). Accounting transactions include, but are not limited to, purchase requisitions, claims, vouchers, journal entries, revenue/expense transfers, revenue deposits, and program disbursements.
- Prepare deposits and cash receipts logs for checks received through mail.
- Prepare various monthly billing and conduct revenue collections and posting.
- Prepare cash receipts logs for checks received through mail or inner office.
- Collect and prepare revenue and expenditure forecast data in preparation of monthly cash flow reports and lease schedules. Run budget reports for assigned funds.
- Monitor for compliance with established policies, procedures, and rules. Responsible for maintaining finance policy and procedures current through regularly scheduled reviews.
- Monitor for capital expenditures, conduct asset inventories and reconcile to fixed asset schedules as requested. Responsible for asset inventory of the Finance Office - recording and tracking capital assets and maintaining the required reports.
- Perform monthly cost pool clearing allocations reconciling to general ledger and prepare journal entry transfers between funds.
- Provide administrative and technical support to Administrative Services Director, CFO and Finance management and budget staff. Regularly communicate with AOC personnel, responding to inquiries and resolving problem areas promptly.
- Responsible for audit-proof organization and management of files and documents, such as, journals, bank statements, invoices, purchase requisitions, vouchers, travel reimbursement receipts, contracts and agreements.
- Demonstrate continuous effort to improve operations, streamline work processes, and work cooperatively and jointly to provide quality seamless customer service. Communicate with Court departments to determine changing needs and problems.
- Develop PowerPoint presentations as requested. Prepare graphic art materials including report covers, newsletters, charts and graphs to illustrate statistical data, training materials and handouts, and overhead transparencies.
- Maintains and provides monthly status reports and weekly updates on status of projects and/or performance indicators.
This position may be eligible for a hybrid-telework schedule once the employee has completed three (3) months of employment and has sufficiently proved their ability to perform assigned tasks.

MINIMUM REQUIREMENTS:
This position requires a Bachelor's degree preferably in Business, Accounting, or Finance or training and experience equivalent to a Bachelor's degree demonstrating the necessary job skills and proficiency is required. In addition, this position requires knowledge of finance and budget administration, accounting principles and practices; ability to use automated spreadsheets and other fiscal record keeping systems; ability to comprehend, interpret and apply financial and operational policies; ability to review financial reports for errors in format and content; knowledge of business math, including fractions, decimals, percentages, and ratios; and ability to perform detailed numerical work with speed and accuracy while meeting critical deadlines. Also, this position requires the ability to organize and prioritize a high volume of work in order to meet recurring deadlines and the ability to establish and maintain effective working relationships with those contacted in the course of the work.
Preference will be given to individuals who demonstrate experience in the governmental sector specifically relating to the finance and accounting arena.
