Position Summary: The Operations Manager is responsible for making sure that all clients, prospects, and colleagues feel cared for and receive the highest level of service from our firm. On a day-to-day basis, the Operations Manager is the primary point of contact for client service requests and is responsible for overseeing any account related service requests. The Operations Manager will be responsible for creating and implementing technology-based workflows to improve firm efficiencies and accuracy. They are a confident individual who thrives in a dynamic environment and has the ability to multi-task various client requests and projects at the same time. Above all else, this individual must have a deep concern for other people’s well-being, high attention to detail, and superior communication skills.

Required Skills and Experience:
- Extremely high attention to detail
- Previous client service and operations experience
- Strong understanding of brokerage/advisory regulations and rules that govern client accounts
- Demonstrated experience handling client concerns and issues with tact and diplomacy
- Ability to work independently and effectively as part of a team
- Ability to manage multiple client situations, needs, and inquiries simultaneously
- Ability to communicate with co-workers, clients, and various business contacts in a courteous and professional manner
- Ability to investigate, research, and resolve problems or concerns
- Ability to maintain confidentiality
- Ability to take complete and accurate notes
- Excellent communication (oral and written), interpersonal, and organizational skills
- Proficient in the Microsoft Office Suite
- Experience with financial planning/management software (MoneyGuide Pro, Redtail, NetX 360, Charles Schwab Advisor Center, Orion)
- Series 7, 65 licenses or the ability to obtain immediately upon employment
- Minimum 7 years of relevant financial services experience
- Bachelor’s Degree
Job Description
- Interact daily with clients, process client requests, and answer client inquiries in a timely manner
- Proactively communicate with clients on a regular basis through a range of communications vehicles
- Develop and Implement operational workflows and technologies
- Discuss and organize follow-up steps with the advisory team after client meetings
- Prepare client engagement agreements, investment applications, transfer paperwork, and account service-related forms
- Provide regular updates to clients regarding their service and account requests
- Coordinate account transfers
- Execute equity, fixed income, mutual fund, and variable annuity transactions under the direction of the advisory team
- Monitor client account activity
- Verify cash balances for systematic withdrawal programs
- Manage all client service details in CRM
- Populate and maintain accurate client data in client relationship management databases and reporting systems
- Oversee firm compliance with SEC and FINRA regulations
Job Type: Full-time
Pay: $120,000.00 - $175,000.00 per year
