SUMMARY: Under limited supervision, this position is responsible for implementing, and coordinating the communication and administrative functions of the BJWSA Fats, Oils, Grease Program (F.O.G). Prepares and publishes customer notification documents, and maintains BJWSA Grease Trap Policy and procedure documents, forms and records. Investigates and reviews customer accounts to aid customers and contractors in achieving policy compliance. Responsible for all facets of the BJWSA F.O.G Program.

Duties include but are not limited to:

  1. Serves as the primary point of contact for communication with BJWSA customers and contractors with relations to grease trap maintenance and inspection.
  2. Performs customer premise inspections, filing, reporting, assisting with installations, and explains and enforces regulations.
  3. Serves as a liaison between the BJWSA F.O.G Program and all other BJWSA departments, providing communication and training for processes where F.O.G. functions either affect or are affected by other interdepartmental processes.
  4. Assists the Field Operations Management in development, implementation and maintenance of various programs and databases integral to the various functions of the F.O.G. program, including, but not limited to: productivity, statistical data and metrics, training and communication.
  5. Assists with record updates and data entry to include customer information and grease trap installation and inspection results.
  6. Coordinates all phases of Grease Trap Policy Letter Notification Process, including development of letters, their controls and use in tracking compliance
  7. Communicates program requirements to internal and external customers.
  8. Develops and maintains standard operating instructions, policies, procedures and training tools.
  9. Prepares agendas for scheduled meetings.
  10. Assists with daily administrative duties; purchasing card, travel arrangements, etc.
  11. Identifies and recommend new processes for the F.O.G. Program.
  12. Assembles data and prepare special reports to be used for internal reporting, including, but not limited to, productivity, program costs and effectiveness.
  13. Performs duties of the Field Operations Coordinator as required.
  14. Performs other duties as assigned.


EDUCATION and/or EXPERIENCE:

  • Requires a high school diploma or equivalent.
  • Preferred a minimum of two years of experience in an administrative support role and two years of experience coordinating maintenance activities utilizing a Computerized Maintenance Management System (CMMS) or an equivalent combination of education and experience.
  • Must be able and confident to operate a two-way radio system to direct maintenance activities.
  • Must have strong computer aptitude including demonstrated proficiency with databases, spreadsheets and word-processing software. Working knowledge of Microsoft Office products, Microsoft Windows, Outlook, Excel and Word or similar software.
  • Proficient in customer relations and effective communication, both orally and in writing, with coworkers, customers and other agencies.
  • Ability to perform effectively in an independent or team environment, as well as display self-motivation skills

CERTIFICATES, LICENSES, REGISTRATIONS:

  • Must possess avalid driver’s license.
  • Must Possess and maintain Class “B” Wastewater Collection System License.

Interpersonal Communications: Requires the ability of speaking and/or signaling people to convey or exchange information. Includes receiving assignments and/or direction from supervisor and coordinating work activities throughout the organization.

Language Ability: Requires the ability to read a variety of documents, reports and other materials; must be able to type and/or prepare various documents and reports using the proper format, punctuation, spelling and grammar. Requires the ability to communicate with co-workers, supervisors, customers, etc. with poise and voice control, and confidence.

Intelligence: Requires the ability to apply principles of rational systems such as secretarial science to solve practical problems and deal with a variety of concrete variables in situations where only limited standardization exists.

Verbal Aptitude: Requires the ability to record and deliver information and to follow verbal and written instructions. Must be able to communicate effectively and efficiently in a variety of technical and/or professional languages including mechanical and electrical.

Numerical Aptitude: Requires the ability to utilize mathematical formulas; to add and subtract totals; to multiply and divide; to determine percentages and decimals; determine time and weight; utilize high school algebra, trigonometry, geometry and descriptive statistics.

Form/Spatial Aptitude: Requires the ability to inspect items for proper length, width and shape and visually read various information.

Motor Coordination: Requires the ability to coordinate hands and eyes rapidly and accurately in using automated office equipment.

Manual Dexterity: Requires the ability to handle a variety of items, office equipment, control knobs, buttons, switches, catches, etc. Must have minimal levels of eye/hand/foot coordination.

Color Discrimination: Requires the ability to differentiate colors and shades of color.

Interpersonal Temperament: Requires the ability to deal with people beyond giving and receiving instructions. Must be adaptable to performing under stress when confronted with emergency situations or tight deadlines.

Physical Communications: Requires the ability to talk and hear: (talking: expressing or exchanging ideas by means of spoken words; hearing; perceiving nature of sounds by ear).
