SUMMARY/POSITION OVERVIEW

The Facilities Director is responsible for the management of services and processes that support the core business of the Ministry and ensures that the Ministry has the most suitable working environment for its employees and their activities. Additionally, they will focus on using best business practices to improve efficiency, by reducing operating costs and increasing productivity.
Experience and Skills:

PRIMARY DUTIES AND RESPONSIBILITIES:
The primary duties of the Facilities Director include Mailroom Shipping and Receiving, Transportation, Asset Management, Record Retention, Café Management, Office Relocations, Facility Operations, Event Management, and Phones/Reception. The responsibilities cover several departments and campuses, as well as central services that link to all the teams on the Ministry’s campus.

Areas of responsibility include:

  • Office administration and operation (receptionists, mail, distribution, master calendar, vending);
  • Café operation;
  • Procurement and contract management;
  • Internal events, catering, decorating, and all on-campus employee projects;
  • Health and safety;
  • Space management (relocations)
  • Asset management and inventory (furniture maintenance, and/or refurbishment of furniture and equipment);
  • Disaster Recovery/Business Continuity;
  • Record retention;
  • Floor plans, office moves.

Typical tasks include:Directing and planning essential central services such as reception, mail, record retention, shredding and catering;

  • Project management;
  • Investigating availability and suitability of options to purchase new Facility equipment;
  • Calculating and comparing costs for required goods or services;
  • Preparing the annual operational budget for the departments under the Facilities purview;
  • Managing and leading change to ensure minimum disruption to core activities;
  • Planning best allocation and utilization of space and resources for new buildings, and/or reorganizing current premises;
  • Coordinating and leading a team or teams of Facilities staff to cover various areas of responsibility;
  • Continually implements process improvement to increase efficiency and innovation
  • Responding expeditiously to emergencies or urgent issues
  • Coordinating internal events for staff such as staff meetings, food trucks, lunch and learns, employee training, employee luncheons, health fairs, open enrollment; etc.
  • Coordinating major functions and arrangements for events
  • Arranging room set-ups
  • Maintaining master calendar of events on campuses
  • Oversee catering request
  • Developing and implementing facility policies and procedures
  • Accomplishing other tasks as may be required and assigned by the CEO and EVP of Media Operations & Technology Services.

JOB REQUIREMENTS:

  • Minimum of five years’ experience in Facilities or Office Management
  • Excellent verbal and written communication skills
  • Proficiency with MS Office Suite a mus
  • Strong problem-solving skills. Ability to use independent judgement and discretion
  • Ability to operate professionally in all areas of responsibility, to reflect the mission of the Ministry in the assigned areas (e.g., facilities management, research, budget management, and evaluation)
  • Knowledge and appreciation of the intricacies of the entire Ministry calendar and potential conflicts;
  • Strong attention to detail and accuracy
  • Ability to apply policies equitably and recognize unusual requirements
  • Capability to effectively plan and set priorities\
  • Ability to manage several complex projects simultaneously while working under pressure to meet deadlines with accuracy
  • Ability to exercise discretion and professionalism at all times

  • Typical office environment: may experience minor discomfort from extensive use of a computer display and keyboard; travel between buildings on campus and between campuses.
