We are seeking a knowledgeable Facility Coordinator to join our team. The Facility Coordinator will be responsible for maintaining the HFC Experience Center facility; including building maintenance, repairs, and coordinating services to ensure efficient and safe operation. To ensure success, the Facility Coordinator should exhibit extensive experience in facility maintenance and the ability to liaise with contractors/vendors.
Facility Coordinator Responsibilities:
- Routine building and equipment inspections.
- Implement and manage preventative maintenance schedules for building, equipment, and vehicles. Ensure equipment is in proper working order and available for use.
- Manage vehicle reservation process.
- Respond to urgent building maintenance and equipment emergency calls.
- Support emergency preparedness efforts by maintaining, updating, and administering building evacuation and other action plans.
- Testing building security systems and promoting safety within the building.
- Managing equipment and supply needs, including furniture, kitchen, office equipment and supplies, and climate control.
- Coordinate with landlord and vendors as applicable to ensure repairs are handled by the responsible party in a timely manner.
- Supervise contracted cleaning crews, maintenance workers, and vendors. Review vendor reports and findings and execute/plan accordingly.
- Document processes and keeping maintenance records.
- Maintain and grow vendor network, researching services and equipment to facilitate operations.
- Minor building and equipment repairs. Utilize mechanical skills to troubleshoot and repair equipment as needed.
- Monitor activities outside of the building, such as grounds safety proper waste disposal.
- Coordinate and participate in the preparation of the facility for special events, activities, or meetings including set-up of equipment and furniture as necessary.
- Maintain inventory control; order, receive, and store new equipment and supplies; assure the proper disposal of surplus or obsolete equipment and supplies.
- Implement the shipping and receiving process; assist unloading delivery trucks, properly label and place equipment/materials, and send notifications.
- Provide support to the front office reception desk as needed.
- Perform related duties as assigned.
Facility Coordinator Requirements:
- High school diploma or General Equivalency Diploma (GED).
- A minimum of 2 years’ experience as a Facility Coordinator or similar role with progressively responsible related building and equipment experience.
- Thorough knowledge of maintenance planning and schedules.
- In-depth knowledge of building safety regulations and security protocols.
- Familiarity with facility and office equipment, security systems, cleaning supplies and protocols.
- Sound judgement and ability to respond to building and equipment emergencies.
- Proficiency in office software, such as Microsoft Word, Excel, and Outlook.
- Demonstrated ability to manage multiple projects and prioritize competing demands.
- Experience working with vendors, contractors, and property managers.
- Excellent organizational, verbal, and written communication skills.
- Requires performing activities including, but not limited to, bending, stooping, grasping, reaching, pushing, pulling, twisting, turning and/or lifting.
- Works indoors in an office and warehouse environment, and outdoors in all types of weather.
Preferred but not required:
- Forklift Certified
- Shipping and logistics experience
